About the Role:

The Administrative Assistant - Men role occasionally involves light physical tasks such as handling office errands, organizing materials, and assisting with logistics coordination. Applicants must therefore be physically capable of performing routine office and coordination activities as required. This position combines administrative, HR, recruitment, legal assistance, and deployment operations support ideal for individuals seeking real-world experience in manpower management, crewing coordination, and operational administration. In preparation for We's potential manning agency setup, the Administrative Assistant will play a vital role in ensuring smooth end-to-end deployment from recruitment and onboarding to contract completion and compliance monitoring.

Main Responsibilities:

  • Recruitment & Onboarding
  • Assist in sourcing, screening, and evaluating applicants for both deployed and office-based roles.
  • Conduct character reference checks and verification of credentials and employment history.
  • Prepare employment and contractor agreements, onboarding kits, and deployment documentation.
  • Coordinate initial interviews, orientations, and onboarding schedules.
  • Deployment Coordination
  • Assist in the assignment and dispatch of employees or independent contractors to client sites or projects.
  • Manage travel arrangements, accommodations, and logistical requirements for deployed personnel.
  • Track attendance, performance reports, and client feedback from deployed personnel.
  • Monitor contract renewals, completions, and terminations to ensure smooth transitions.
  • Collect and compile feedback and reports from deployed personnel and client sites.
  • Compliance & Legal Assistance
  • Ensure that deployed personnel comply with company policies, safety standards, and labor regulations.
  • Assist in drafting, reviewing, and updating contracts, policies, and guidelines.
  • Maintain and update records of licenses, certifications, clearances, and compliance requirements.
  • Help ensure alignment with Philippine labor laws and internal company policies.
  • Administrative & Coordination Support
  • Maintain accurate digital and physical records for recruitment, deployment, and contracts.
  • Prepare reports, summaries, and deployment trackers for management.
  • Handle procurement, scheduling, and coordination related to deployment and office operations.
  • Perform office errands and light lifting as required for logistical and operational tasks.
  • Support other HR, legal, and operational duties as assigned to ensure overall efficiency.
  • Office upkeep, cleaning, and re-stocking of stationaries and pantries.

Qualifications:

  • Open to all qualified applicants, regardless of gender identity or background.
  • Open to Political Science, Human Resource Management, Business Administration, or Law students(preferably graduating or recently graduated).
  • Experience in Crewing, Manning, or HR Operations is a plus
  • Physically capable of performing routine office and coordination activities (e.g., light lifting, document delivery, basic logistics).
  • Strong attention to detail, organizational ability, and accountability.
  • Good written and verbal communication skills in English and Filipino.
  • Familiarity with basic employment laws, contracts, and HR processes (training will be provided).
  • Willing to perform both office-based and field-related coordination tasks.
  • Capable of assisting across departments (HR, Legal, and Operations).
  • Must be able to handle confidential information with discretion and professionalism.

Job Type: Full-time

Pay: Php Php700.00 per day
