Position Summary:

The Admin Assistant provides essential administrative and operational support to the Homeowners Association (HOA) Office. The role includes handling the turnover of house and lot units, conducting buyer orientations, processing punch listings, managing construction and extension approvals, preparing official communications, and issuing receipts. This position plays a key role in ensuring smooth coordination between homeowners, contractors, and the HOA.

Key Responsibilities:

  • House & Lot Turnover

Assist in scheduling and facilitating house turnovers, ensuring documentation and inspections are complete.

  • Buyer's Orientation

Coordinate and conduct orientation sessions for new homeowners regarding HOA rules, policies, and responsibilities.

  • Punch Listing

Participate in site inspections to identify construction defects or pending works and coordinate follow-up for resolution.

  • Construction & Extension Approvals

Receive, review, and process homeowner requests for construction, renovations, or extensions in line with HOA regulations.

  • Advisory Preparation and Distribution

Draft and send out HOA advisories and official announcements to homeowners via physical or digital means.

  • Issuance of Official Receipts

Accurately issue official receipts for payments such as HOA dues, construction bonds, and other fees; maintain organized records of transactions.

  • General Administrative Duties

Maintain homeowner files, update records, file documents, and assist in day-to-day office operations.

Qualifications:

  • Bachelor's degree in BSBA Accounting/Management/Marketing/Banking & Finance, or any related course
  • Fresh graduates are welcome to apply
  • Experience in administrative, property management, or customer service roles is an advantage
