Assistant Facilities Manager

Job Summary:
The Assistant Facilities Manager will support the Facilities Manager in the day-to-day operations, maintenance, and management of a high-rise residential condominium in Mandaluyong. The role involves supervising technical staff, contractors, and service providers to ensure that building systems and amenities operate efficiently, safely, and in compliance with all relevant regulations. The ideal candidate will possess strong leadership skills, meticulous attention to detail, and the ability to resolve issues promptly while fostering excellent relationships with residents and stakeholders.
Key Responsibilities:
Facilities Operations & Maintenance
- Assist in overseeing daily operations and maintenance of the building, including mechanical, electrical, plumbing, fire protection, and elevator systems.
- Conduct regular inspections of common areas, equipment, and systems to ensure cleanliness, safety, and functionality.
- Coordinate preventive and corrective maintenance schedules with in-house technicians and third-party contractors.
- Ensure building amenities (e.g., pool, gym, function rooms) are well-maintained and operational.
Vendor and Contractor Management
- Supervise and coordinate with service providers (e.g., janitorial, security, pest control, landscaping, elevator maintenance).
- Review contractor performance and ensure compliance with service level agreements.
- Assist in bidding, procurement, and monitoring of outsourced services and materials.
Resident Relations
- Address residents' maintenance concerns or service requests in a timely and professional manner.
- Assist in implementing and communicating house rules and building policies.
- Participate in homeowner association (HOA) or tenant meetings as needed.
Compliance & Safety
- Ensure compliance with local government regulations (e.g., fire safety, environmental, building permits).
- Assist in emergency preparedness planning and respond to facility-related emergencies.
- Monitor and ensure implementation of health, safety, and security protocols within the property.
Administrative Tasks
- Prepare reports on maintenance activities, budget usage, and incident logs.
- Maintain an up-to-date inventory of tools, equipment, and supplies.
- Assist in the preparation of annual maintenance budgets and capital improvement plans.
Qualifications:
- Bachelor's degree in Engineering (Mechanical, Electrical), Facilities Management, or a related field.
- At least 2-3 years of experience in facilities or property management, preferably in a residential or high-rise building setting.
- Familiarity with building systems (MEPFS), property management software, and Philippine building codes.
- Strong leadership, organizational, and problem-solving skills.
- Good communication and interpersonal skills, especially in dealing with residents and service providers.
- Proficient in Microsoft Office (Excel, Word, Outlook).
Preferred Qualifications:
- Holder of a PRC license (for engineers) is a plus.
- Knowledge of ISO standards, preventive maintenance systems, and energy efficiency practices.
- Experience working in Mandaluyong or similar urban areas in Metro Manila.
Working Conditions:
- On-site position; may require occasional weekend or holiday duty.
- Will be part of a rotating on-call schedule for emergencies
