Masterfile and Importation Staff

The Masterfile and Importation Staff will provide support to the Procurement Department through two main functions:
  1. Masterfile Management – ensuring accuracy and completeness of item and vendor records in the ERP system
  2. Importation Support – coordinating shipment documentation and compliance for imported goods

Key Responsibilities:

Masterfile Management:

  • Create, review, and update item and vendor master data in the procurement system (Odoo)
  • Ensure proper naming conventions and prevent duplicate or inactive entries
  • Coordinate with Procurement, Accounting, and other departments for approvals and updates
  • Perform regular audits of masterfile records for accuracy and consistency
  • Generate reports related to vendor and item data
  • Assist in data cleanup and system maintenance tasks

Importation Support:

  • Coordinate with international suppliers, customs brokers, and freight forwarders regarding shipment schedules and documentation
  • Prepare and review import documents (e.g., bill of lading, commercial invoice, packing list, certificate of origin)
  • Monitor shipment status and update internal stakeholders
  • Ensure compliance with customs and government regulations, including permits and tariffs
  • Maintain import records and trackers for audit and reporting purposes
  • Assist in resolving shipment delays, discrepancies, or documentation issues

Qualifications:
  • Graduate of Business Administration, Supply Chain, Customs Administration, Accounting, or related courses
  • Experience in procurement support, data entry, or importation is an advantage but fresh graduates are welcome to apply
  • Strong attention to detail and data accuracy
  • Familiarity with ERP systems (e.g., Odoo) is a plus
  • Proficient in Microsoft Excel and Google Sheets
  • Good communication and coordination skills
  • Willing to learn and work in a fast-paced environment
  • Organized, responsible, and able to handle confidential information
