Project Coordinator

Duties and Responsibilities: A Project Coordinator plays a vital role in managing the administrative and logistical aspects of construction projects. They support the Project Manager and ensure that all phases of the construction process run smoothly, efficiently, and within budget.
Project Planning and Scheduling
Assist in developing detailed project plans, timelines, and schedules.
- Coordinate with implementation team to align timelines and deliverables.
Track project milestones and deadlines to ensure timely completion.
Communication and Coordination
Serve as the point of contact between site teams and stakeholders
- Organize and facilitate internal project meetings, including preparing agendas and taking minutes.
- Facilitate clear and effective communication across all project participants.

Communicate daily updates, schedule changes, and issues to stakeholders.
Documentation and Record Keeping
Maintain and organize construction project documents (e.g., contracts, permits, RFI's, submittals, drawings and change orders).
- Maintain and update project documentation, reports, and records.
- Manage databases, spreadsheets, and tracking tools for easy access to project data.
- Ensure compliance with local building codes, safety regulations, and client specifications/
Track and manage approvals, inspections, and certifications.
Resource coordination
Track the availability and usage of resources (personnel, tools, materials)
Assist in onboarding new team members and assigning tasks.
Risk and Issue Management
• Help identify risks and issues early in the project life cycle.Maintain risk and issues logs and assist with mitigation plans
Escalate critical concerns to the project manager as needed.
Procurement and Resource Management
Assist in purchasing materials and equipment.
- Track deliveries and inventory on-site
Coordinate with purchasing department to ensure timely delivery of construction materials.
Budget Tracking and Cost Control
Monitor project budget and track expenses.
- Help prepare cost estimates, invoices, and change orders.
- Ensure alignment with financial goals and alert the PM of cost overruns.
Provide reports on budget variances or funding requirements.
Quality and Safety Compliance
Monitor Support site teams in maintaining safety protocols and documentation.
- Support quality control processes to ensure deliverables meet standards.
- Review project outcomes and document lessons learned for future reference.
Help track quality control measures and ensure that workmanship meets specifications.
Monitoring Progress and Reporting.
Track project progress against objectives and timelines.
- Prepare regular status reports and updates for project managers and stakeholders.
Flag delays or potential issues and help resolve them proactively.
Administrative Support
Handle day-to-day administrative tasks such as meeting arrangements, travel bookings, and office coordination.
- Maintain calendars and schedules for project leaders or teams.
- Ensure weekly and monthly reports are collected and filed
What You Bring
- 1–3 years of experience in project coordination or administration
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Comfortable juggling multiple tasks and priorities
- Proficiency with MS Office or Google Workspace
Job Types: Full-time, Permanent
Pay: Php20, Php30,000.00 per month
