The Accounting Payables Associate is responsible for supporting the accounts payable function, ensuring that vendor invoices and employee reimbursements are processed accurately and on time. The role involves verifying financial data, maintaining vendor records, reconciling accounts, and assisting with month-end closing activities.

Key Responsibilities:

  • Review, verify, and process vendor invoices, employee expense reports, and purchase orders.
  • Match invoices with purchase orders and receipts to ensure accuracy and proper authorization.
  • Enter and code invoices into the accounting system in accordance with company policies.
  • Prepare and process electronic transfers and payments (EFT, wire, or check runs).
  • Reconcile vendor statements and resolve discrepancies or billing issues.
  • Maintain accurate and up-to-date vendor files and documentation.
  • Assist with month-end closing, including accruals and AP aging reports.
  • Support audits by providing necessary documentation and responding to inquiries.
  • Collaborate with procurement, finance, and other departments to improve payable processes.
  • Ensure compliance with company accounting policies and internal controls.

Qualifications:

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field.
  • 1 year of experience in accounts payable or general accounting.
  • Familiarity with accounting software (e.g., SAP, Oracle, QuickBooks, or NetSuite).
  • Strong knowledge of MS Excel and general accounting principles.
  • Detail-oriented with excellent organizational and time management skills.
  • Good communication and problem-solving abilities.
