The Administration Staff provides comprehensive administrative and clerical support to ensure efficient operation of the office. This position assists in managing day-to-day administrative tasks, documentation, coordination with departments, and maintenance of company records, supplies, and communications to support smooth business operations.

DUTIES AND RESPONSIBILITIES

Administrative Support:

  • Handle office correspondence, including incoming and outgoing emails, calls, and memos.
  • Prepare reports, letters, forms, and other documents as required.
  • Maintain and update company records, files, and databases.
  • Assist in scheduling meetings, appointments, and company events.
  • Coordinate with suppliers, service providers, and other departments for administrative requirements.

Office Management:

  • Monitor and manage office supplies and inventory.
  • Ensure that office equipment and facilities are properly maintained and functioning.
  • Facilitate requisitions and purchase requests for administrative needs.

Documentation and Filing:

  • Maintain organized filing systems (electronic and physical).
  • Ensure accuracy, confidentiality, and proper storage of company documents.
  • Assist in the preparation of reports, vouchers, and other official records.

Support to HR and Operations:

  • Assist in onboarding and administrative requirements for new employees.
  • Coordinate attendance sheets, leave forms, and HR-related documents.
  • Support logistical arrangements for meetings, events, and employee activities.

Other Tasks:

  • Perform other related duties that may be assigned from time to time by management.

QUALIFICATIONS

  • Bachelor's degree in Business Administration, Office Management, or related field.
  • Preferably with at least 1 year of administrative experience (fresh graduates may also be considered).
  • Proficient in MS Office applications (Word, Excel, PowerPoint).
  • Strong organizational and communication skills.
  • Detail-oriented, reliable, and able to handle multiple tasks efficiently.
  • Can work independently and maintain confidentiality at all times.
