The Role:
This is not your typical administrative role. While you will handle essential tasks like scheduling, communication, and document management, your primary focus will be on navigating the complexities of government compliance. You will be the key point of contact between our company and various government agencies, ensuring we maintain all necessary permits and certifications to operate seamlessly.
Key Responsibilities:
- Government Liaison & Compliance:
- Act as the primary liaison with government agencies for all company requirements.
- Manage the end-to-end process for securing and renewing essential permits, including the Business Permit, Fire Safety Inspection Certificate, and Barangay/Health Permits.
- Stay updated on changing regulations and ensure the company's ongoing compliance.
- Prepare, submit, and follow up on all required documentation with relevant agencies.
- Coordinate and schedule any necessary inspections.
- Advanced Administrative Support:
- Manage complex calendars, schedule meetings, and coordinate appointments for the owners.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Maintain an efficient filing and record-keeping system, both physical and digital.
- Handle confidential information with discretion and professionalism.
Who You Are:
- You have at least 2 years of proven experience in an administrative role, with a significant portion dedicated to liaising with government agencies.
- You are at least a college-level graduate. A degree in Business Administration, Office Management, or a related field is a plus.
- You possess an in-depth understanding of the processes in dealing with government agencies.
- You are an excellent communicator, both written and verbal, with the confidence to interact effectively with government officials and internal teams.
- You are highly organized, detail-oriented, and able to manage multiple deadlines in a fast-paced environment.
- You are a proactive problem-solver who can work independently with minimal supervision.
- You are proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
