Career

We are looking for a highly organized and detail-oriented HPWH Administrative Coordinator to join our growing team. This is a full-time role dedicated exclusively to supporting our NorCal and SoCal HPWH operations. The position will report directly to the Project Managers and provide day-to-day support for Project Manager, and our Field Foremen. The Philippine office is located in Quezon City at Fernandina 88 Hotel.

Primary duties will involve managing customer records, processing work orders and purchase orders, ordering materials, performing job costing, assisting with scheduling, supporting program approvals and compliance documentation, preparing proposals, invoicing customers and partners, and assisting with month-end closing tasks.

Work Schedule : Work during the night from 10pm - 7am Monday to Friday.

Work set-up : On-site schedule from Monday to Friday

Responsibilities include:

1. Operations Administration

  • Create, update, and manage customer records, jobsites, proposals, work orders, and purchase orders.
  • Order equipment, materials, and parts as needed.
  • Perform job costing to ensure accurate financial tracking.
  • Provide scheduling assistance for field and program activities.

2. Program Administration

  • Assist with approvals for site walks.
  • Support proposal creation and submission for program approval.
  • Request, organize, and submit required documentation for program compliance.

3. Accounting Administration

  • Prepare and send invoices to customers and program partners.
  • Assist with month-end closing tasks.

Preferred Skills and Abilities

  • Proven experience in administrative support, preferably in construction, HVAC, or related fields.

Must be able to work California business hours (remote setup).

  • Proficiency with job costing, purchase order systems, and scheduling tools.
  • Experience with documentation management and program compliance processes.

  • Must be able to work California business hours.
