Key Responsibilities:
Administrative Support:
- Manage email inboxes: filter, prioritize, respond to, and flag messages.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and edit documents, reports, and presentations (e.g., in Google Workspace or Microsoft Office).
- Conduct online research on various topics as requested.
- Maintain digital filing systems to ensure documents are easily accessible.
Communication:
- Serve as a point of contact between the executive/team and internal/external parties.
- Draft and send professional communications on behalf of the team.
- Handle confidential information with discretion.
Project & Task Management:
- Assist with special projects, including data entry, research, and presentation preparation.
- Help manage task lists and project timelines to ensure deadlines are met.
- Provide light bookkeeping support (e.g., tracking expenses, processing invoices) using tools like QuickBooks or FreshBooks.
Other Potential Duties (customize based on your needs):
- Social Media Management: Schedule posts, engage with followers, and create basic graphics.
- Customer Support: Respond to customer inquiries via email or chat.
- Content Management: Update website content using CMS like WordPress.
- E-Commerce Support: Manage product listings, update inventory, and process orders.
What We're Looking For (Qualifications):
Required:
- Proven experience as a Virtual Assistant, Executive Assistant, or relevant administrative role.
- Exceptional written and verbal communication skills.
- High degree of proficiency with core productivity software (Google Workspace - Docs, Sheets, Calendar, Drive; or Microsoft Office Suite).
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Self-motivated and able to work independently with minimal supervision.
- Reliable high-speed internet connection and a dedicated, quiet workspace.
Preferred (Bonus Skills):
- Experience with project management tools (e.g., Asana, Trello, ClickUp).
- Familiarity with communication platforms (e.g., Slack, Zoom).
- Basic graphic design skills (e.g., Canva).
