Overview

We are looking for a highly detail-oriented and proactive Virtual Assistant with experience in real estate marketing and admin support. This role will be integral in ensuring smooth execution of digital and print marketing, content coordination, and backend administration across multiple platforms. You'll be working closely with our internal marketing team and external vendors to ensure all tasks are completed accurately and on time.
  • Compensation: 1000 AUD/month (paid bimonthly)
  • Schedule: Flexible 20hrs/week within Sydney Business Hours
  • Location: Remote

Key Responsibilities:

Social Media & Advertising
  • Create and manage Facebook Ads (Just Listed, Sold, Agent Profiles) via Ads Manager
  • Design graphics in Canva and post content to social platforms
  • Track ad performance and expenses in the Facebook Ad Tracker
  • Respond to social media inbox messages, comments and Google reviews

Design & Distribution
  • Design marketing collateral (letterbox drops, brochures, etc.) using Canva
  • Coordinate with printers, signage companies, and expense tracking
  • Send invoices to accounts and maintain accurate marketing budgets
  • Order and track signage and print materials
  • Coordinate the distribution of flyers and other marketing materials

Content Creation
  • Assist with monthly business and landlord newsletters (writing, research, formatting)
  • Create the monthly Dapto flyer in collaboration with Creative Visions
  • Post blog articles and content updates as directed by the marketing team

Coordination & Admin
  • Coordinate sponsorship tracking, communications, and scheduled posts
  • Manage design requests and liaise with our designer
  • Schedule video shoots with video supplier and coordinate with agents
  • Maintain and update email signatures, logos, and team profiles on Engage
  • Compile stats and coordinate monthly wrap-up videos
  • Update Facebook banners monthly
  • Send out agent database emails via Eagle
  • Update listings on REA and other platforms
  • Send out newsletter stats reports

Skills/Experience
  • Excellent written and verbal communication skills.
  • Strong organisational and admin skills.
  • Strong attention to detail
  • Ability to understand tasks from various formats and team members.
  • Experience with Canva, Facebook Ads Manager, and other social platforms.
  • Comfortable using tools like Eagle, Engage, and REA listing portals.
  • Ability to manage multiple projects and meet deadlines.
  • Proficient with email and calendar management, invoicing, and expense tracking.
