DUTIES & RESPONSIBILITIES
The HRMD Officer is in charge of providing support and assistance in talent acquisition, retention, development, employee relation and HR Compliance initiatives of the department.
Talent Management :
- Provide assistance in talent acquisition process screening resumes, scheduling interviews, and conducting background checks.
- Coordinate pre-employment processes, such as reference checks, employment contracts, and new hire paperwork.
- Support the onboarding process by organizing orientation programs and ensuring a smooth integration of new employees.
- Maintain employee files and records in electronic and paper form.
- Prepare pertinent onboarding documents such as employment contract, job offer and other documents in a timely manner before the actual onboarding date.
Talent Retention and Development :
- Keep track of timekeeping process
- Provide assistance in resolving employee inquiries and providing basic guidance on HR policies and procedures such as leaves and salary,
- Enhance employee job satisfaction by resolving employee issues promptly, applying new perks and benefits and organizing company wide activities.
- Perform responsibilities related to the performance management process.
HR Administration and Data Management:
- Provide assistance to all initiatives of the department and the management such as but not limited to planning, organizing, budgeting and implementation of the initiatives.
- Maintain accurate and up-to-date employee records, including personal information, attendance, and leave records.
- Prepare department related documents and reports
- Assist in maintaining and updating HR databases and systems.
Compliance and Policy Implementation:
- Assist in ensuring compliance with all department issued policies, guidelines and procedures and general labor compliance.
- Stay updated on changes in employment laws and regulations.
HR Strategy and Planning:
- Develop and implement the HRMD strategy in alignment with the organization's overall strategic goals.
- Provide guidance and support to the executive team on HR issues, including talent acquisition, retention, development, employee relation and HR Compliance
- Collaborate with other department heads to identify HR needs and develop strategies to address them effectively.
Culture and Employee Engagement:
- Foster a psychologically safe work environment by promoting employee engagement initiatives and activities.
- Handle employee relations matters, including conflict resolution, disciplinary actions, and grievance procedures.
- Ensure compliance with labor laws, regulations, and internal policies related to employee relations.
MINIMUM QUALIFICATION
- Bachelor's degree in a relevant field (e.g., business administration, supply chain management) or equivalent work experience.
- Proficiency in MS Office, Google Workspace and other relevant software applications.
- Self-motivated with a willingness to learn and develop HR competencies.
- Has a capacity to handle multiple assignments with strong attention to detail and accuracy in data entry and record keeping.
- Has a strong professionalism, interpersonal skills and strong sense of handling confidential information
