Dealership CSR and Virtual Receptionist, Appointment Setter

• Job Title: Appointment Setter / Dealership Customer Support & Virtual Receptionist
• Location: Remote/ Permanent WFH
• Salary: Php 35,000 - Php 40, 000 per month depending on experience
• Schedule: Full Time: Full Time Graveyard shift (SMO/FSO). Schedules are assigned based on the needs of the operations.
• Equipment: Company-provided desktop

Remote Appointment Setter Duties

• Make outbound calls to prospects and existing customers to schedule sales or service appointments.
• Respond to inbound phone calls, web leads, and emails in a prompt and professional manner.
• Confirm, reschedule, and follow up on customer appointments.
• Accurately enter and update customer information, call outcomes, and appointments into the CRM system.
• Coordinate appointment availability with internal sales and service teams using dealership scheduling tools.
• Follow up on marketing leads, missed appointments, or past-due services to re-engage customers.
• Stay up to date on dealership promotions, services, inventory highlights, and offers.

Remote Appointment Setter Qualifications:

• Clear and professional phone voice with excellent verbal and written communication skills.
• Proven ability to provide exceptional customer service in a remote or call center environment.
• Strong multitasking and organizational skills; ability to manage call volume and scheduling simultaneously.
• Proficient in using CRMs, VoIP systems, email platforms, and calendar tools.

Reliable internet connection and a quiet, professional home office setup.

• Comfortable working independently and staying accountable without in-person supervision.
• Automotive or dealership experience is a plus but not mandatory.
• Atleast College Level
• Back up laptop or desktop required
• Wired Internet connection minimum 50 mbps-back up internet required
• 2+years of sales exp (any industry)

Dealership Customer Support & Virtual Receptionist Duties

Primary Responsibilities

• Service Overflow - Inbound Vehicle Status Coordination
• Next Day Check-in Customer Experience Follow up
• Customer Retention - Appointment Outreach to Aged Customer

Virtual Receptionist Duties

• Answer incoming dealership calls using a VoIP system and route them to the appropriate department or staff member.
• Serve as the dealership's virtual front desk—greeting and assisting customers via phone, email, or chat in a friendly and professional manner.
• Monitor and manage online inquiry channels such as the website contact form, chat widget, or appointment requests.
• Provide general information about dealership hours, services, location, and processes.
• Log visitor and customer interactions for reporting and tracking purposes.
• Assist with basic administrative tasks such as sending follow-up emails, updating call logs, and distributing daily appointment schedules.
• Support event registration, online customer check-ins, and virtual hospitality during webinars or digital showroom events.

Dealership Customer Support & Virtual Receptionist Qualifications

• Prior experience in customer service, dealership support, call centers, or service appointment coordination preferred.
• Strong verbal communication skills and a clear, friendly phone presence.
• Comfortable handling both inbound support and outbound engagement calls.
• Ability to multitask while maintaining attention to detail.
• Familiarity with dealership software systems (CDK, Reynolds & Reynolds, VinSolutions, Xtime) is a plus.
• Self-motivated, dependable, and adaptable to potential future role expansion (e.g., appointment-based promotions or light sales conversations).
• Team-oriented with a strong customer-first mindset.
• At least College Level
