Executive Virtual Assistant

Job Brief:We are seeking a proactive, detail-oriented Executive Virtual Assistant (EVA) to directly support the President of a fast-growing, family-owned steel fabrication company serving airports, infrastructure, and architectural projects across the U.S. This role is ideal for a highly organized professional who thrives in a fast-paced, entrepreneurial environment. The EVA will serve as the President's right hand — managing his calendar, communications, priorities, and follow-ups — ensuring smooth day-to-day operations and enabling him to focus on strategic business goals.
Duties and Responsibilities:
- Calendar & Scheduling Management: Manage and prioritize the President's schedule, coordinating meetings with internal teams, clients, and external partners.
- Email & Communication Management: Organize and triage the President's inbox, draft professional correspondence, and ensure timely responses and follow-ups.
- Task & Project Tracking: Utilize project management tools (e.g., Asana, ClickUp, or Trello) to monitor tasks, customer requests, and internal deliverables.
- Customer & Employee Coordination: Follow up with customers, vendors, and employees to ensure commitments are met.
- Meeting Preparation & Follow-Up: Prepare agendas, track action items, and ensure accountability for post-meeting deliverables.
- Confidential Administrative Support: Manage sensitive company and personnel information with discretion and professionalism.
- Document & Presentation Support: Assist in preparing reports, presentations, and other business documentation as needed.
Qualifications:
- Bachelor's degree preferred.
- Minimum of 3 years of experience as an Executive Assistant, Project Coordinator, or similar administrative role.
- Exceptional organizational and prioritization skills with strong attention to detail.
- Excellent written and verbal communication abilities.
- Proficiency in Google Workspace, Microsoft Office, and project management tools (Asana, ClickUp, Trello, etc.).
- Proven ability to work independently and manage time effectively in a remote setup.
- Professional, calm, and confident demeanor — capable of managing multiple priorities in a dynamic work environment.
