Insurance Virtual Assistant

Job Brief:We are seeking a detail-oriented and organized Insurance Virtual Assistant (Personal Lines Assistant) to provide administrative support for personal lines insurance operations. The ideal candidate should be experienced in using Applied EPIC and familiar with common insurance workflows, data entry, and document management. This role is crucial in ensuring accuracy, efficiency, and consistency across insurance accounts, transactions, and client communications.
Duties and Responsibilities:
- Manage and follow the BFG EPIC Workflow for all assigned personal lines accounts.
- Add and update client information, opportunities, and insured details within Applied EPIC.
- Perform $CIN Process and $DBA Process accurately and in a timely manner.
- Retrieve and organize necessary documents from Applied EPIC and carrier portals.
- Process vehicle removals and other policy changes as requested.
- Monitor and handle cancellation notices to ensure appropriate follow-up actions.
- Add lienholders, policies, and client accounts in Applied EPIC.
- Review, process, and manage inactive/reactivated EPIC accounts.
- Handle Unsigned BoR (Broker of Record) documentation and ensure proper filing.
- Close completed opportunities within the system following internal procedures.
- Execute $REF Process (refunds or related financial actions) accurately.
- Process monthly payments in Safeco and ensure timely reconciliation.
- Generate and process invoice transactions in Applied EPIC.
- Maintain accurate records and ensure compliance with all internal policies and insurance carrier requirements.
Qualifications:
- At least 1–2 years of experience in insurance administration, preferably in personal lines.
- Proficiency with Applied EPIC, EASE, and insurance carrier portals.
- Strong attention to detail and accuracy in data entry and documentation.
- Excellent organizational and time-management skills with the ability to prioritize multiple tasks.
- Strong written and verbal communication skills in English.
- Proficient in Microsoft Office Suite (Outlook, Excel, Word, and Teams).
- Ability to work independently while maintaining high productivity and confidentiality.
- Familiarity with U.S. personal lines insurance practices is highly preferred.
