Customer Service Representative

Key Responsibilities:
- Acts as the link between the Customer Service Head (CSH) and clients.
- Provides timely and accurate responses to customer inquiries and concerns.
- Monitors and tracks customer inquiries and complaints to identify causes of delays or quick resolutions.
- Regularly gathers client feedback to improve service, productivity, and profitability.
- Coordinates client meetings and trucking concerns.
- Prepares client letters and communications as directed by the CSH.
- Records & Documentation
- Maintains complete and updated client records (soft and hard copies).
- Keeps accurate records of all transactions sales, complaints, orders, cancellations, contracts, and meeting minutes.
- Collects and analyzes data to address complaints, inquiries, and performance issues.
- Assists in preparing customer service reports and statistics.
- Updates Project Cost Monitoring and Project Performance Reports; sends quarterly performance reports to clients.
- Prepares minutes of Sales and Operations Meetings (SNOP) weekly and distributes to relevant departments.
- Encodes Purchase Order (PO) details in the Accounting database for production and billing.
- Ensures clients provide all materials (samples, bundling guidelines) before Time and Motion Study (TMS) requests.
- Approves mock-up samples before mass production.
- Coordinates and follows up on TMS results and cost estimates.
- Benchmarks initial project costs against similar projects for accuracy.
- Coordinates with Business Development for future leads and projects.
- Assists CSH in implementing customer service improvement strategies.
- Ensures all reports and actions are reviewed and approved by the department head or designate.
- Adheres to company policies and performs other tasks as assigned by the CSH or President.
Qualifications:
- College graduate, preferably Industrial Engineer or Marketing.
- Fresh Graduates are welcome to apply.
- Ability to work under pressure.
- Good communication skills both written and verbal.
- Attention to detail & organizational skills.
- Strong listening and problem-solving abilities.
