Job Title: Executive Assistant to the CEO- External
Location: Genteel Home, Pampanga
Working Days and Hours:
Monday to Thursday - 8:30 AM – 7:30 PM
Friday to Saturday - 8:30 AM – 5:30 PM
Reports To: CEO
Coordinates With: CEO Office, Marketing, PR, Sales, Project Management, Business Development, Branch Managers, Event Partners, Digital & Social Media Teams
Role Overview
The Executive Assistant - External acts as the CEO's outward-facing representative and strategic coordinator for all external-facing initiatives. This role plays a vital part in enhancing the CEO's presence in brand building, partnerships, public relations, events, and inter-branch coordination. The EA ensures Genteel Home's external engagements are polished, professional, and aligned with the brand's identity, helping turn connections into opportunities and impressions into impact.
Key Accountabilities
- Support and enhance external-facing engagements of the CEO
- Maintain and monitor relationships with key clients, media, and partners
- Coordinate and report on events, collaborations, and public representation
- Serve as a liaison across branches to ensure consistency in external execution
- Manage CEO content calendar and social media brand presence
Key Responsibilities
1. External Relations & Business Development
- Initiate and maintain high-value relationships with external partners
- Represent the CEO in exploratory meetings and partnership briefings
- Track new leads and maintain a weekly business development report
- Submit strategic collaboration proposals aligned with Genteel Home's brand
2. Client Relations & Retention
- Oversee relationship health of Genteel Home's top clients
- Coordinate thank-you gestures, milestone recognition, and follow-ups
- Consolidate and summarize client feedback for CEO review
3. Public Relations & Brand Representation
- Coordinate CEO media features, speaking engagements, and interviews
- Ensure presentation materials are brand-aligned and professionally executed
- Serve as brand guardian in external communications and public events
4. Marketing & Sales Coordination
- Sync campaign schedules and performance updates with the CEO
- Submit monthly marketing performance summaries
- Track creative milestones and campaign evaluations
5. Event & Activation Management
- Oversee CEO's participation in external events and exhibits
- Ensure on-time delivery of event briefs, schedules, and reports
- Conduct post-event evaluations and prepare executive summaries
6. Inter-Branch & CEO Visibility Coordination
- Maintain constant communication with showroom heads
- Plan CEO check-ins or visits across branches
- Monitor consistency of brand representation across locations
7. CEO Social Media Management
- Curate, draft, and schedule weekly personal content
- Monitor engagement and feedback from CEO's platforms
- Align all posts with brand and personal messaging strategy
Qualifications
- Bachelor's Degree in Business, Marketing, Communications, or any related field
- At least 2 years of relevant experience in executive support, PR, or external affairs
- Strong written and verbal communication skills in English and Filipino
- Proficient in business correspondence, event coordination, and external negotiations
- Excellent organizational skills with a polished and professional presence

- Schedule Accuracy and Meeting Preparation: 100% accuracy in scheduling with materials submitted at least 1 day in advance
- Brand-Aligned Communication: 100% of communications aligned with brand tone and approved visual standards
- Event Execution and Management: 100% execution of external events on time using detailed checklists and schedules
- Event Feedback Rating: Maintain an average of 90% satisfaction in event evaluations
- Strategic Event Proposals: Submit at least 3 brand-aligned event/collab ideas per quarter
- Timely Report Submission: 100% of event and executive reports submitted within 5 working days post-event
- Usefulness of Executive Reports: 90% of reports rated as "helpful" or "very helpful" by CEO or team leads
- External Partner Retention: Retain at least 90% of partners and contacts through meaningful interactions each quarter
