Immigration Specialist

Role Overview:
As an Immigration Assistant, you will provide operational support to the immigration team by preparing applications, managing documentation, liaising with clients and employers, and tracking visa/immigration milestones. You will ensure high accuracy and timeliness of immigration deliverables and maintain strong client relationships.
Key Responsibilities:
- Assist in collecting, verifying and organizing immigration documentation (visas, work permits, student visas, residence applications) for individuals and employer-sponsored cases.
- Monitor application progress and maintain updated case status in systems; proactively alert the team to upcoming deadlines or compliance issues.
- Liaise with employers, migrant workers, external partners and internal team members to ensure all information is accurate and on schedule.
- Prepare submissions, correspondence and follow-up requests with immigration authorities, ensuring adherence to regulatory requirements.
- Maintain the internal data library and client records for easy retrieval, audit readiness and reporting.
- Provide other administrative and project support related to immigration workflows, compliance updates, and client communications.
Required Skills & Qualifications:
- Bachelor's degree or equivalent qualification.
- Strong written and verbal communication skills in English; ability to interact professionally with internal and external stakeholders.
- Excellent attention to detail, organization skills and the ability to manage multiple tasks under deadlines.
- Comfortable working with immigration case data, tracking tools and client-facing communications.
- A proactive and cooperative attitude, with willingness to learn and support in a dynamic regulatory environment.
- Prior experience (1-2 years) in immigration processing, migration services, or visa support is an advantage.
- Familiarity with New Zealand immigration policy (especially employer accreditation, job checks and work/residence visa pathways) is desirable.
- Proficiency in database or case-management software and MS Office suite
Tools & Platforms:
- We uses an internal case-management system to track visa applications, employer accreditation, and migrant employee compliance.
- They maintain a data library and document repository for immigration files, which you will be responsible for updating and managing.
- Ongoing training and updates are provided via webinars and policy-update platforms, so familiarity with e-learning / webinar systems is beneficial.
- Communication and progress tracking rely on CRM/email tools and internal dashboards to monitor case milestones and deadlines.
