Job Description:

We are looking for a reliable and detail-oriented Admin Officer to ensure the efficient day-to-day operations of both the office and warehouse. The role includes overseeing timely procurement activities, monitoring and controlling costs, and providing comprehensive administrative support to management. This position also serves as the primary point of coordination among suppliers, logistics partners, and internal teams to maintain smooth and efficient workflows. Compensation for this role is performance-based and may be adjusted in line with individual and organizational performance.

Key Responsibilities:

  • Procurement & Landed Cost
  • Prepare landed cost computations for imported and local products.
  • Coordinate with suppliers and forwarders for quotations, delivery schedules, and documentation.
  • Negotiate supplier pricing and payment terms.
  • Administration & Office Operations
  • Supervise all administrative functions — office supplies, equipment, repairs, utilities, and maintenance.
  • Check and approve reimbursement requests, petty cash, and expense reports.
  • Maintain organized filing systems for purchases, deliveries, and payments.
  • Management Support
  • Act as the manager's representative when he is out of the office.
  • Prepare reports, monitor deadlines, and ensure tasks are completed by relevant teams.
  • Handle confidential matters with discretion.
  • Coordination & Communication
  • Coordinate with warehouse, accounting, and sales teams for inter-department needs.
  • Follow up pending supplier deliveries, invoices, and collections.
  • Ensure smooth daily operations of both office and store personnel.

Qualifications:

  • Bachelor's Degree in Business Admin, Accounting, or related field
  • Minimum 3–5 years experience in office administration or operations
  • Proficient in Excel and Google Sheets (for cost tracking and landed cost)
  • Strong negotiation and communication skills
  • Highly organized, dependable, and can work with minimal supervision
  • Leadership experience is an advantage

Job Type: Full-time

Pay: Php20, Php30,000.00 per month

Ability to commute/relocate:

  • Makati: Reliably commute or planning to relocate before starting work (Preferred)
