Virtual Assistant (Onsite – Dumaguete Office)

Position Title: Virtual Assistant

Work Schedule: Tuesday–Saturday, 12:00 AM – 8:00 AM Philippine Time

Location: Onsite in Dumaguete (Philippines-based candidates preferred)

Initial Workload: 25 hours/week, scalable to full-time after training

Start Date: ASAP

Position Overview

Kaizen Progressive Health is seeking a highly organized and dependable Virtual Assistant to support the clinic's administrative and front-desk operations remotely. This role plays a vital part in maintaining smooth backend workflows—from payment tracking and insurance verification to social media updates and patient communication. If you're detail-oriented, a quick learner, and have a passion for supporting wellness-focused organizations, we want to hear from you.

Key ResponsibilitiesDaily Tasks

  • Track payments and visits from the previous business day using spreadsheets.
  • Post or schedule basic social media content using Canva and Facebook.
  • Respond to new patient messages and inquiries via Weave and ChiroSpring.
  • Assist in scheduling patient appointments and replying to general questions.
  • Monitor patient communications and manage EMR data entries.

Occasional or Biannual Tasks

  • Call insurance companies to verify coverage for clinic services.
  • Assist with clinic-wide insurance re-verification periods (typically biannual).
  • Create and maintain SOPs for recurring administrative tasks.

Required Skills & Qualifications

  • Strong data entry and spreadsheet tracking (Google Sheets or Microsoft Excel).
  • Experience in creating SOPs or workflow documentation.
  • Basic financial understanding, especially in payment tracking or package setup.
  • Clear, consistent communication in written and spoken English.
  • Strong time management and ability to work with minimal supervision.
  • General social media knowledge (posting, engagement, scheduling tools like Canva or Facebook).

Preferred Experience

  • Prior experience as a Virtual Assistant in a healthcare or wellness setting.
  • Familiarity with ChiroSpring EMR, Fortis payment platform, and Weave communication tool.
  • Customer support or remote front desk experience.
  • Knowledge of HIPAA compliance or certification in medical administration (preferred, not required).

Tools & Platforms

  • ChiroSpring (EMR) – or similar like JaneApp, SimplePractice
  • Fortis – or similar (Stripe, Square, etc.)
  • Google Sheets – or Excel
  • Hubstaff – or similar time-tracking software
  • Weave – communications
  • Canva, Facebook, Instagram – for light content posting
  • Gmail or similar email platforms

Proficiency in equivalent tools is acceptable as long as you can transition quickly to the clinic's stack.

  • Time Zone: Client operates in Mountain Standard Time (MST)
  • Shift Nature: Night shift (PH time), Tuesday to Saturday
  • Tools Provided: All systems and platforms will be accessed via client accounts
  • No integration or infrastructure setup required from your end
