This proposal outlines the need for a Gym Admin Assistant position at our facility. The objective is to support the efficient management and daily operations of the gym, ensuring high standards of service for both staff and members.

Rationale for the Position
As our gym continues to grow in membership and expand its services, there is a pressing need to delegate operational tasks to a dedicated professional. The Gym Admin Assistant will play a pivotal role in supporting the Studio Manager, optimizing administrative and financial processes, and improving customer satisfaction.
Key Responsibilities
• Customer Service: Address member inquiries, resolve concerns, and foster a welcoming environment for all gym users.
• Studio Cleanliness: Helps maintain highest standard of cleanliness and orderliness of the studio by regular repair and maintenance scheduling by cleaning services (reception area, workout area, restrooms, showers, and utility room and staff room)
• Bookkeeping: Maintain accurate records of all financial transactions, including income, expenses, and petty cash handling.
• Monthly Studio Promotion Execution: Coordinate with marketing and operations teams to prepare requirements and execute materials for monthly promotions and campaigns.
• Bills Handling: Oversee and organize the timely payment of utility bills, supplier invoices, and other operational expenses.
• Payments and Reimbursement Processing: Manage processing of payments for vendors and staff reimbursements, ensuring proper documentation and compliance with internal controls.
• General administrative tasks: Assist with updating gym software of coaching schedules, class types, clearing of membership accounts payables, and other tasks such as regular downloading of monthly reports.
• General Administrative Support: Assist with maintenance of staff requirements, inventory management of studio supplies / merchandise / food & beverage, and other daily operational oversight.
• Staff Assistance: Support the Studio Manager in supervising and scheduling regular studio maintenance requirements, delegating tasks, and ensuring smooth day-to-day operations.
• Other Duties as Assigned: Flexibility to take on additional tasks to meet business needs.
Qualifications
• At least 1 year experience in administrative, financial, or operational roles is an advantage.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal abilities.
• Proficiency in Microsoft Office applications and basic software navigation.
• Ability to work independently and as part of a team.
• Works efficiently under minimal supervision.
• Friendly, patient, and kind personality are advantages.
