Building Admin. and Leasing Assistant

QUALIFICATIONS:
- Bachelor's Degree in Property Development, Real Estate Management, Business Administration, or equivalent
- With relevant experience in property or facilities management
- Possesses technical background or familiarity with building maintenance
- Strong organizational skills with keen attention to detail
- Excellent interpersonal and communication skills
- Ability to multitask, prioritize projects, and deliver accurate, timely reports
- Strong problem-solving and coordination skills
RESPONSIBILITIES (ORTIGAS, PASIG):
1. Tenant Relations
- Address tenant inquiries, requests, and concerns promptly and professionally
- Disseminate building notices, memos, and announcements to tenants
- Handle and document tenant complaints, escalating issues when necessary
2. Documentation and Records Management
- Prepare and process building-related documents such as contracts, permits, reports, and correspondences
- Maintain organized filing systems (both physical and digital) for easy retrieval
- Monitor incoming and outgoing communications related to tenants and building operations
3. Permitting and Regulatory Compliance
- Process work permits, gate passes, and delivery authorizations
- Coordinate with relevant government agencies for necessary permits and documentation
- Ensure compliance with building policies, safety regulations, and statutory requirements
4. Facility Management Support
- Assist in monitoring daily tenant occupancy and retail foot traffic
- Facilitate parking requests and issuance of parking permits
- Coordinate with the maintenance team regarding reported issues and trouble calls
- Prepare and process water billing and related facility charges
5. Administrative Support
- Perform general administrative duties such as managing calls, scheduling meetings, and maintaining office supplies
- Provide clerical and operational assistance to the Building and Leasing teams
