Key Responsibilities:

1. Office Management:

  • Oversee daily office operations, ensuring a well-maintained and organized environment.

  • Manage office supplies, equipment maintenance, and vendor relationships to ensure operational efficiency.

2. Administrative Support:

  • Provide administrative assistance to property managers and other staff, including scheduling meetings, preparing reports, and managing correspondence.

  • Assist in the creation, filing, and organization of documents, contracts, and tenant files.

3. Communication Liaison:

  • Serve as the main point of contact for internal and external communications, including phone calls, emails, and in-person inquiries.

  • Maintain positive relationships with tenants, vendors, and service providers.

4. Tenant Relations:

  • Respond to tenant requests and concerns promptly and professionally, facilitating resolutions as needed.

  • Assist in coordinating tenant communications related to notices, policies, and events.

5. Data Management:

  • Maintain accurate databases for tenant information, maintenance requests, and lease agreements.

6. Financial Assistance:

  • Assist in the preparation of budgets and financial reports, including tracking expenses and processing invoices.

  • Support the billing department by preparing payment reminders and assisting with collections as needed.

7. Event Coordination:

  • Help plan and organize property management events, meetings, and community activities to promote tenant engagement.

  • Coordinate logistics for property maintenance and inspections.

8. Compliance and Regulatory Support:

  • Ensure that office practices comply with local regulations related to property management.

  • Maintain records for audits and assist the compliance team with documentation as necessary.

9. Team Collaboration:

  • Work closely with the property management team to support special projects and strategic initiatives.

  • Participate in team meetings and contribute ideas for improving office processes and tenant satisfaction.

Qualifications:

  • High school diploma or equivalent; an Associate's degree in Business Administration, Management, or a related field is preferred.

  • Previous experience in an administrative role (1-3 years) preferably in property management or real estate.

Preferred Skills:

  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.

  • Excellent communication skills, both verbal and written, to interact effectively with tenants and coworkers.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with property management software is a plus.

  • Problem-solving mindset and ability to handle confidential information with discretion.

Working Conditions:

  • Primarily office-based with standard business hours; availability for occasional evening or weekend events may be required.
