This person will be calling physician's offices and hospitals to request medical records. All communication with the facilities is documented electronically in an email, Excel or client proprietary system. The candidate would take pride in strong customer service and communication skills, and running multiple desks or tasks at a time.

  1. Call (usually outbound) and establish the lines of communication with custodians of record based on order priority.

  2. Make regular and persistent phone calls and/or other means of contact with each custodian to complete each order timely.

  3. Performs research and investigation to ensure successful retrieval with provider offices, troubleshooting issues as they arise.

  4. Escalate the level of communication (intensity) with custodian as order approaches due date and send proper notices to each location to elicit production of records in accordance with Client protocols.

  5. Ensures documented due diligence. Enter follow-up updates into the Client computer system to document all conversations with custodians, all progress of orders, and all tracking of orders.

  6. Employs good judgment and multi-tasking in a high-pressure environment. Maintain an organized rotation of all work orders in possession to ensure orders are followed up, usually by calls or emails, according to priority.

  7. Identifies and coordinates the most efficient retrieval methods with providers, such as onsite retrieval, secure electronic access, or secure web upload.

Accurate order matching. Provide quality control for all incoming records when matching to a work order.

  1. Facilitates storage of records in secure organizational repositories. Tagging retrieved medical records and uploading to the Client system.

  2. Scheduling - Each appointment or field job requires information verification (address, copy times, contact name). All items being requested by the client should be expressed to custodian prior to setting appointments.

  3. Close and forward orders when necessary.

  4. Safeguards confidentiality medical records and complies with all local, state, and federal laws pertaining to medical records. Assures compliance with all HIPAA regulations concerning use, retrieval, storage, and sharing of medical records.

Qualifications:

  • College Graduate, preferably of a medical allied, legal or administrative course.
  • Prior work experience in customer service, a call center, medical, legal, or insurance claims office.
  • Computer Proficient. Able to navigate Microsoft Outlook, Word and Excel. Highly adaptive to learning new programs, specific Client proprietary systems.
  • Analytical with problem-solving abilities and decision-making abilities.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Good written, interpersonal and organizational skills.
  • Background and understanding of the internal processes of medical facilities and med-legal terminology.
  • Ability to type 50 wpm.
  • Willing to work onsite at Mckinley, Taguig
  • Willing to work on a night shift schedule

Job Type: Full-time

Pay: Php22, Php25,000.00 per month
