Shift days, hours and time zone:
M – F 9pm – 7am next day Philippine time (Flexible hours - the ideal candidate has to be available on their phone in case the client needs anything)

We are a looking for a proactive, high-integrity Executive Assistant to support both our professional and personal priorities. This is a high-trust, high-impact role where you'll work directly with both principals in a fast-paced, detail-oriented environment. We value someone who is resourceful, tech-savvy, and forward-thinking, with a natural ability to anticipate needs and manage tasks independently. Experience with platforms like Notion is a plus, though not required.

Please note:
You may occasionally receive emails over the weekend. Being aware of your schedule and able to assist with time-sensitive matters is important.

Responsibilities:

Manage calendars, schedule meetings, and coordinate logistics

Own projects from start to finish, ensuring deadlines are met

Prepare summaries, briefings, and updates

Conduct research (vendors, travel, services, etc.)

Manage simple budgets, expenses, and property-related spreadsheets

Oversee household service providers and vendor appointments

Provide light IT support for devices and systems (Mac/PC/iOS)

Discreet & Professional: You handle sensitive information with care and represent us with polish.

Flexible & Adaptable: Willing to take on a wide range of tasks, from high-level projects to day-to-day errands.

Requirements
:

5+ years of experience as an Executive Assistant (this is a must - non-negotiable)

Strong skills in Microsoft Office (Outlook, Word, Excel), Adobe PDF, and AI tools

Excellent communication and organizational skills

Comments and notes
: Availability & Travel Awareness The principals travel frequently. While this is not a 24/7 role, we're looking for someone who can stay lightly connected, monitor communications, and handle time-sensitive matters across time zones. Reliable internet connection and professional remote setup Flexibility to occasionally align with Eastern Time (Miami) hours
