Job Title: Administrative Assistant

Department: Administration

Reports To: Office Manager / HR Manager / Department Head

Job Summary:

The Administrative Assistant provides clerical, administrative, and organizational support to ensure the efficient operation of the office. This role is responsible for managing day-to-day administrative tasks, assisting various departments, and maintaining smooth communication within the organization.

Key Responsibilities:

  • Perform general administrative duties such as filing, scanning, copying, and organizing documents.
  • Manage incoming and outgoing correspondence (emails, letters, packages, etc.).
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Prepare reports, presentations, and other documents as requested.
  • Maintain and update company records, databases, and filing systems.
  • Monitor and replenish office supplies and coordinate with suppliers for procurement.
  • Assist in preparing purchase requests, expense reports, and other administrative forms.
  • Support HR or accounting functions such as timesheet collection, attendance monitoring, and petty cash handling (if required).
  • Answer and direct phone calls and respond to inquiries in a professional manner.
  • Provide general support to visitors, clients, and other stakeholders.
  • Perform other related tasks as may be assigned by the immediate superior.

Qualifications:

  • Bachelor's degree in Business Administration, Office Management, or related field.
  • At least 1–2 years of experience in administrative or clerical work (fresh graduates may also be considered).
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent communication and organizational skills.
  • Strong attention to detail and ability to multitask.
  • Can work independently and handle confidential information responsibly.

Preferred Skills (Optional):

  • Experience in document control, procurement support, or HR coordination.
  • Familiarity with office management systems or ERP software.
  • Ability to work under pressure and meet deadlines.

Job Types: Full-time, Permanent

Pay: From Php15,000.00 per month
