
Executive Virtual Assistant – Finance

We are a Perth-based fitness group operating multiple gyms and expanding We are looking for a dependable and detail-oriented specialist to take ownership of our back-office operations.
This is a hybrid role: you will manage all day-to-day bookkeeping while also supporting the Director with reporting, analysis, and administrative organisation. The goal is simple: you prepare, package, and present the information so the Director can focus on review and decision-making.

Responsibilities
Finance & Bookkeeping
- Daily bookkeeping in Xero, including bank reconciliations
- Code transactions accurately with GST treatment
- Organise supplier invoices, AP records, and draft batch payments
- Manage AR: invoicing, reconciliations, overdue follow-ups
- Prepare payroll timesheets, reimbursements, and staff card expenses
- Maintain supplier accounts and expense records
- Ensure GST/BAS coding is correct for compliance
- Prepare monthly reporting packs (P&L, Balance Sheet, Cash Flow, AR/AP aging)
Reporting & Analysis
- Reconcile forecasts against actual performance
- Collect operational data across clubs (sales, expenses, member trends)
- Clean and format data in Excel (pivot tables, variance analysis)
- Build dashboards and reports for management review
- Package results into clear PowerPoint slides and summaries
Executive & Admin Support
- Manage inbox and calendar, flagging key priorities
- Organise files across Google Drive / OneDrive
- Prepare meeting notes and follow-ups
- Support rostering setup (Deputy preferred)
- Assist with task tracking (Asana preferred)
Preferred Skills
- 3+ years bookkeeping experience with Australian businesses
- Advanced Xero proficiency (proof required)
- Strong English written communication (must be professional and precise)
- Advanced Excel and PowerPoint (forecasting, variance, dashboards)
- Experience with GST/BAS preparation and compliance
- Accounting degree preferred (CPA or ongoing studies an advantage)
- Data analysis and reporting skills
