Visa Assistant – AEP Assistant

The Visa Assistant specializing in AEP (Alien Employment Permit) provides dedicated

administrative support for the end-to-end processing of AEP applications. This role ensures the

timely and accurate handling of all requirements related to the employment of foreign nationals,

in coordination with the Department of Labor and Employment (DOLE) and related agencies.

Key Responsibilities:

● Assist in the preparation, submission, and follow-up of AEP applications, renewals, and

cancellations with the Department of Labor and Employment (DOLE).

● Handle job publication requirements in compliance with AEP regulations, including

coordination with accredited newspapers and media platforms.

● Monitor deadlines for job postings, publication windows, and permit expirations to ensure

timely processing.

● Coordinate with clients to gather complete and accurate supporting documents for AEP

transactions.

● Maintain a centralized tracker of AEP applications, publication records, and official

receipts.

● Assist in scheduling and follow-ups with DOLE, including attending hearings or

clarification meetings if required.

● Organize and digitize all related documentation by scanning, uploading, and archiving

files in shared drives.

● Support internal teams and clients by providing updates on processing timelines and

requirements.

● Perform other administrative and AEP-related tasks as assigned by the Visa Manager or

department head.

Qualifications:

  • College Graduate / College Level
  • With great and readable penmanship
  • Knowledgeable on end-to-end visa processing for Alien employees such as; tourist visa, 9G working visa, 9G renewal visa, downgrading and cancellation, ECC, and BIR TIN application for Alien employees.
  • Strong attention to detail and the ability to accurately complete complex paperwork and forms
  • Familiarity with Philippine visa regulations and requirements, or the ability to quickly learn and stay up-to-date
