Responsibilities:

  1. Employee Records & Documentation
  2. Maintenance of Personnel Files: Ensure the proper and confidential storage of employee files and documents.
  3. Contract Management: Draft and process employment contracts, including renewals and terminations
  4. Leave Management: Monitor and record employee leave (vacation, sick, emergency, etc.)
  5. Employee Relation
  6. Conflict Solution: Serve as a mediator between employees and management in cases of grievances or disputes.
  7. Disciplinary Actions: Assist in implementing company policies, handling employee violations, and conducting disciplinary hearings.
  8. Employee Engagement: Plan and organize activities to boost employee morale and company culture.
  9. Compliance with Labor Laws and Regulations
  10. Adherence to Legal Requirements: Stay updated on Philippine labor laws and ensure compliance with labor regulations (e.g., Department of Labor and Employment or DOLE guidelines, employee rights, safety regulations).
  11. Reports an Filings: Prepare and submit reports to government agencies (e.g., DOLE, SSS, Pag-Ibig, Philhealth, BIR).
  12. Administrative Support
  13. Scheduling & Coordination: Assist in scheduling meetings, managing appointments, and organizing office events or trainings.
  14. General Office Communication: Handle communication with clients, visitors, and vendors.
  15. Training & Development
  16. Employee Training: Coordinate training programs, workshops, and development initiatives for employees.
  17. Performance Management: Assist in performance appraisals and development plans.
  18. Health & Safety Compliance
  19. Workplace Safety: Ensure that the office complies with safety regulations under the Department of Labor and Employment's Occupational Safety and Health Standards (OSHS).

Qualifications/Requirements

Qualifications

  • Bachelor's Degree: A degree in Human Resource Management, Business Administration, Psychology, Political Science, or any related field.
  • With 2 years minimum work experience in related fields.
  • Knowledge of Labor Laws: Understanding Philippine labor laws, such as the Labor Code and regulations from DOLE.
  • Communication Skills: Both written and verbal communication skills are essential, as the role involves dealing with employees, management, and external stakeholders.
  • Organizational Skills: Ability to multitask, prioritize responsibilities, and maintain records in orderly manner.
  • Attention to Detail: Precision in processing documents, payroll, and other administrative tasks.
  • Confidentiality: Must uphold confidentiality regarding personal and company related information.
  • Problem-Solving Skills: Ability to address conflicts and employee concerns with diplomacy and professionalism.
  • Basic Knowledge of Computer Applications: Proficiency in Microsoft Office tools (Word, Excel, PowerPoint) and familiarity with HR software systems is important.
  • Interpersonal Skills: Ability to build relationships with employees at all levels.
  • Adaptability: Capacity to handle a variety of administrative tasks and adjust to a dynamic work environment.
  • Teamwork: Ability to work efficiently in a team setting, as HR/Admin staff often work closely with various departments.
  • Proactive & Resourceful: Must be self-motivated and take initiative in solving problems and improving processes.
  • Familiarity with Philippine Labor Laws: Knowledge of relevant laws, such as the Labor Code of the Philippines, BIR tax regulations, and Social Security System (SSS) laws.
  • Compliance: Knowledge of the requirements for compliance with the DOLE and other government regulatory bodies.

PREFFERED QUALIFICATION

  • Training and Development Background: Experience in organizing or coordinating corporate training programs.
  • HR Software Expertise: Familiarity with HR management systems like SAP HR, Workday, or other HRIS (Human Resource Information System) tools.
