Part-Time Accounts & Invoicing Specialist

Salary: 1000AUD/mo (paid bimonthly)

Location: Remote - (Monday to Friday, 8:00 AM - 5:00 PM Brisbane Business Hours)

About the Role

We are seeking a detail-oriented and proactive Accounts & Invoicing Specialist to join our team. The ideal candidate will be responsible for managing a high volume of invoices, ensuring accurate processing in Xero, and maintaining smooth communication with suppliers and internal stakeholders. This role requires someone who can work independently, use common sense in problem-solving, and consistently meet deadlines with precision and reliability.

Key Responsibilities

  • Monitor the accounts inbox and ensure all invoices are uploaded daily.
  • Process invoices in Xero and move them to the "awaiting approval" stage.
  • Complete credit applications and apply for credit extensions when required.
  • Review supplier statements and reconcile them with Xero records.
  • Communicate directly with suppliers or contractors to resolve invoice-related issues.
  • Liaise with the Head of Accounts and Construction Administrator for escalations.
  • Ensure inbox is cleared daily and invoices are processed with accuracy.
  • Address and resolve:
  • Missing purchase order numbers or incomplete invoice details.
  • Errors within Xero accounting software.
  • Supplier queries related to payment.

Qualifications & Skills

  • Proficiency in Xero, Google Drive, Gmail, and related Google apps (Sheets, Docs, etc.).
  • Experience with Procore is an advantage, though not required.
  • Strong ability to learn quickly and apply common sense in decision-making.
  • Excellent communication skills with the ability to understand and follow basic accounting procedures.
  • Ability to work independently, manage time effectively, and stay highly organized.
