Our client is an Australia-based e-Commerce and fulfillment company servicing the property management industry. The client is dedicated to streamlining access and key management. They purchase, hold and distribute access devices (keys, swipes and garage remotes) to residents in 1000s of buildings across Victoria.
They're a fast-growing business with an ambitious team and exciting plans to expand across the country and introduce new service offerings.
About The Role
As the Purchasing & Operations Assistant, you are proactive, organized, analytical, and collaborative. In this role, you'll work closely with the management team and cross-functional departments to ensure the smooth processing and fulfillment of orders, accurate inventory control, and efficient supplier coordination. What matters most is a passion for operational excellence, attention to detail, and a problem-solving mindset that helps keep workflows running seamlessly.
Responsibilities
- Procurement management – Manage the purchasing of goods with vigilant follow-up on suppliers, ensuring timely supply, receipting, and cost-effectiveness.
- Order fulfillment – Monitor sales and purchase flows to ensure smooth fulfillment of customer orders; proactively identify bottlenecks, exceptions, and implement corrective measures to prevent delays or complaints.
- Inventory control – Maintain accurate and up-to-date inventory records in Odoo, ensuring data consistency across customer, supplier, and stock records.
- Scheduling & coordination– Schedule and coordinate service technician jobs (CCTV, access control, and other security hardware), ensuring all required information is available for timely execution.
- Operational support – Assist in day-to-day operations, monitor workflow processes, and support management with project coordination and the implementation of operational policies.
- Cross-team collaboration – Work closely with customer care, operations, logistics, and finance teams to streamline processes, resolve discrepancies, and support smooth internal operations.
- Client onboarding – Manage onboarding of new clients into the system to ensure seamless setup and integration.
- Reporting & insights – Generate and review operational and purchasing reports in Odoo to provide actionable insights for management and support data-driven decisions.
- Process improvement – Suggest and support implementation of system enhancements and process automations to reduce repetitive manual work and improve efficiency.
Competencies And Qualifications
Must-Have
- At least 3 years of relevant experience in a similar role
- Experience using CRM systems (Odoo preferred, but Salesforce, Zendesk, NetSuite, SAP, etc. are relevant).
- Proven experience in administrative or operational support roles, preferably involving scheduling and coordination.
- Strong organisational and multitasking skills
- Clear written and verbal communication
- Process improvement mindset
- Tech-savvy: You're confident and quick to learn new systems
- Administrative accuracy and an eye for detail
Nice-to-Have
- Experience coordinating technical field service jobs, ideally with security hardware (CCTV, access control, alarms).
