Job Title: Administrative Coordinator
Location: On-site
Schedule: Monday to Friday, 7:00 AM - 4:00 PM
We are looking for a highly organized and detail-oriented Administrative Coordinator to support project operations, documentation, and communication across teams. The ideal candidate has strong project administration skills, excellent communication abilities, and experience working with construction or telecommunications platforms. You will play a key role in ensuring accurate job submissions, resolving disputes, preparing basic drawings, and maintaining seamless workflow processes.
Key ResponsibilitiesProject & Administrative Support
- Prepare, submit, and track job submissions across internal and external platforms.
- Assist with project coordination tasks such as documentation, scheduling, and follow-ups.
- Support dispute resolution by gathering information, preparing summaries, and coordinating with relevant stakeholders.
- Create and modify basic drawings or sketches as required.
Systems & Tools Management
- Use Microsoft Office and PowerApps to create, update, and manage project documents and workflows.
- Update and maintain records in construction and telecommunications systems, including SMAX, HammerTech, Bid Contender, and Thryv.
- Ensure all data entries are accurate, complete, and aligned with project requirements.
Communication & Collaboration
- Serve as a point of contact for internal teams, contractors, and external partners.
- Provide clear, timely updates on job statuses, outstanding requirements, and potential issues.
- Support project managers and field teams with administrative needs to help keep operations running smoothly.
- Bachelors Degree in Project Management, Business Administration, or a related field.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and experience using PowerApps.
- Experience in job submissions, dispute resolution, and basic drawing preparation.
- Familiarity with NBN processes and construction/telecommunications platforms such as SMAX, HammerTech, Bid Contender, and Thryv.
- Strong attention to detail, exceptional organizational skills, and the ability to manage multiple tasks simultaneously.
- Ability to work independently and collaborate effectively within a team.
