About the Role

We are seeking a highly organized and proactive Logistics Administrator to join our team. This role supports a wide range of functions including administrative, HR-related tasks, document control, clinical research support, training coordination, logistics, and safety compliance.

You will ensure the smooth day-to-day operations of the office and contribute to the success of vital clinical research and development projects in collaboration with local and international partners.


Key Responsibilities

Administrative & HR Support

  • Perform secretarial and general administrative duties (e.g., preparing reports, filing, correspondence)
  • Maintain internal document control systems and handle confidential files
  • Act as point of contact for HR-related tasks and training coordination
  • Manage scheduling, meeting minutes, and housekeeping coordination
  • Coordinate with internal/external stakeholders and assist senior staff when needed

Training & Visitors Coordination

  • Organize training and seminar logistics for staff
  • Maintain training records and certifications
  • Assist in arranging travel and hotel bookings for local and international guests
  • Manage Base Access Requests (BAR) for foreign visitors

Clinical Research Support

  • Support SOP distribution and compliance
  • Help manage Trial Master Files and data encoding
  • Provide basic IT support (e.g., troubleshooting VOIP/internet issues)

Logistics & Resource Management

  • Coordinate procurement, delivery, and inventory of equipment and supplies
  • Track property items and oversee equipment maintenance
  • Support budget preparation and monitor purchase requests
  • Manage shipments of biomedical materials and secure regulatory clearances

Facility Management & Safety

  • Serve as General Safety Officer, Fire Marshall, and Warden
  • Oversee pest control, infrastructure repair, and general upkeep
  • Liaise with the local fire department and ensure site compliance with safety protocols

Qualifications
  • Bachelor's degree in Business Administration, Logistics, HR, or a related field
  • At least 2–3 years of relevant administrative and/or logistics experience
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Good command of English and Filipino (spoken and written)
  • Experience in a clinical or research setting is a plus
  • Knowledge of government shipping and procurement processes is a plus
