Invoice/Order Management Specialist

Location: Bicutan, Taguig

Job Responsibilities:

  • Retrieve client invoice files from online vendor portals or email in a timely manner (within 2 business days of availability)
  • Save files to appropriate folder location on company intranet
  • Upload files to invoice management software within correct/applicable retrieval record
  • Monitor and escalate all missing invoice files by contacting applicable vendors via ticket, or direct contact via email or phone; log all follow-up activity, including date contacted, contact method, ticket or case # (if applicable). Alert applicable internal team members of missing invoice files
  • Process existing basic, non-complex ("tier 1") invoices via import template through TEM software
  • Support occasional data management projects as needed
  • Respond to and resolve client trouble tickets for named clients by relaying troubleshooting steps from the vendor and being an intermediary between the customer and the applicable vendors
  • Monitor and follow-up on trouble tickets throughout daily shift and hand off to US team's queue.

Qualifications:

  • Previous experience in data entry, clerical, or administrative work is preferred but not required.
  • Proficiency in MS Office, particularly Excel, for organizing and managing data.
  • Excellent oral and written communication skills in English, with the ability to clearly convey information to vendors and team members.
  • Strong organizational skills and keen attention to detail to ensure accurate invoice tracking.
  • Excellent time management skills with the ability to manage multiple tasks efficiently and meet deadlines.
  • Ability to work independently with minimal supervision and as part of a team.
  • Critical thinking and problem-solving skills to handle missing or irregular invoices.

Job Type: Full-time

Pay: Php28, Php30,000.00 per month
