Job Description
As a Recruitment and Admin Specialist, you will oversee end-to-end recruitment, onboarding, and administrative processes to ensure smooth operations and compliance. This role combines recruitment expertise, candidate experience management, and care professional support while handling key office administration tasks for seamless service delivery.

Shift: Mid Shift (1:00 PM - 10:00 PM PHT, M-F)

The Qualifications We Seek
- Minimum 3 years of experience in end-to-end recruitment service
- Well-developed administration skills
- Excellent communication skills; confident in speaking, reading, and writing in English
- Strong understanding of the values and culture of the healthcare industry
- Confident and self-motivated with the ability to build and maintain positive relationships with candidates and colleagues
- Proven experience in candidate screening and selection
- Strong interpersonal skills with the ability to build rapport quickly
- Proficiency in IT systems with experience in Microsoft Office and Applicant Tracking Systems; ability to learn and adopt new technologies
- Excellent organizational and prioritization skills with the ability to work accurately under pressure

Your Daily Tasks
Recruitment Support
- Manage recruitment administration and ensure compliance with legislation, regulations, and franchise standards
- Maintain candidate communication and manage the end-to-end recruitment process to deliver a positive experience
- Monitor recruitment channels for new candidate inquiries
- Process pre-employment checks and collate documentation, including sending and following up on references
- Send electronic contracts, welcome emails, and activate new hires in the people planner system and payroll after recruitment checks are satisfied
- Update and optimize job boards and recruitment sources
- Communicate daily with the office/line manager via telephone, email, and Microsoft Teams
- Perform additional duties necessary for the successful operation of the business
- Ensure compliance with Equality, Diversity, and Equal Opportunities policies in employment and service delivery
- Contact applicants promptly and conduct telephone interviews to assess candidate suitability
- Upload candidate profiles into the applicant tracking system (ATS) after the initial screening call
- Schedule face-to-face interviews with qualified candidates using the company calendar
- Set up Disclosure and Barring Service (DBS) criminal record check applications and arrange ID verification appointments
- Set up and monitor e-learning for successful candidates
Care Professional Development Support
- Allocate Care Professional online training through the MyLearning Cloud training system
- Monitor training completion and follow up with Care Professionals who miss deadlines
- Monitor the people planner system for expired tasks such as supervisions and appraisals
- Assist the care management team in scheduling training, support visits, supervisions, and appraisals
- Send reminders to Care Professionals about required or optional training and events to maximize attendance
General Administrative Support
- Monitor the people planner system for expired documentation (e.g., MOT certificates) and coordinate resolution with Care Professionals
- Track and flag key events such as birthdays and work anniversaries for recognition by the care team
- Monitor the main company inbox, forward emails to the appropriate team members, and raise tasks in the people planner system as needed
- Provide telephone support during peak periods or when staffing is limited
- Maintain Care Professional folders on Microsoft 365 by updating documents, organizing files, and preserving folder structures
- Participate in daily office meetings and other office and care team meetings as required
