Hiring: Hybrid Executive Assistant for Real estate
Executive Assistant Duties:
Social Media Management:
Manage and update platforms like Facebook, Instagram, TikTok, and YouTube.
- Create and schedule engaging posts, including carousels ,website,Lamudi Pro and videos.
- Handle advertisements and marketing campaigns.
Engage with followers and respond to inquiries.
Property Management:
Coordinate and schedule property viewings.
- Assist in finding and listing new properties on platforms like Propit or Lamudi Pro, Events,FB and from Instagram and from previous loyal clients.
Engage with potential clients and respond to inquiries promptly.
Escalate urgent inquiries to the broker on duty as quickly as possible.
Maintain a knowledge base of current listings and sales notes.
3. Communications with Brokers & Group Chats
-The executive assistant is responsible for identifying properties that meet clients' desired requirements through partnerships with other brokers group chats ,carousel listings, Lamudi, Facebook, and Instagram advertisements.
Monitor and participate in real estate group chats (Viber, Telegram, WhatsApp) as a liaison for listings and inquiries.
Relay pertinent information to brokers and ensure timely dissemination of updates.
Maintain professional tone and ensure compliance with firm policies in all group communications.
Schedule and Property Viewing Management
Arrange property showings for clients (in-person and virtual).
Coordinate calendars with agents, clients, lenders, and vendors.
Send confirmations, reminders, and follow-ups for all appointments.
Prepare property dossiers (photos, floor plans, disclosures) prior to showings.
Track and optimize viewing timelines to align with client needs and market pace.
Manage access to properties (lockbox codes, keys, security precautions).
Assist buyers and other brokers with property viewings.
Client Assistance & Communications
Serve as a primary point of contact for clients regarding schedule, inquiries, and updates.
Respond to inquiries promptly and relay messages to the appropriate broker or team member.
Maintain professional, courteous, and proactive client communications.
Compile and share market updates and relevant property information with clients.
Maintain a knowledge base of current listings and sales notes.
6.Communications with Brokers & Group Chats
Monitor and participate in real estate group chats (Viber, Telegram, WhatsApp) as a liaison for listings and inquiries.
Portfolio Management & Listings
Add new listings to the current portfolio with complete details (photos, descriptions, pricing, features).
Update listing statuses (active, pending, sold) and coordinate with marketing on presentation.
Maintain organized listing database and ensure data consistency across platforms.
Twice a month onsite meeting.

Listings & Marketing: MLS portals, Zillow/Trulia, IDX/CRM integrations
Communications: WhatsApp, Telegram, Viber, Slack
Document Management: Google Drive, Dropbox, Notion
Task & Projects: Trello, Asana,
Upload new property to CRM and MLS with all required fields.
Update listing changes (price adjustments, status) within agreed SLAs.
Prepare listing summaries for client meetings and marketing decks.
Job Types: Part-time, Fresh graduate
Pay: From Php10,000.00 per month
Expected hours: No less than 40 per week
