Job Responsibilities:

  • Receive/collect and release/distribute billing documents and records from and to internal and external parties (i.e. vendors)
  • Ensure completeness and correctness of transmittals and invoice package/attachments
  • Perform initial review of hard copies from proponents/vendors if complying to Finance's RFP requirements before receipt
  • Ensure recording of transfer of docs Scan and/or print RFP, checklist, and other relevant supporting documents Groom the original and hard copy invoice and printed documents mentioned above into physical and electronic folders.
  • Ensure systematic and orderly labeling and filing of all files (transmittals) and protect them from destruction and/or loss.
  • Perform administrative functions such as but not limited to answering customer queries relating to billing doc receipt and submission, meeting room reservation, etc.
  • Maintain confidentiality of any information read or seen on the documents processed or discussed during meetings, in compliance to the Data Privacy Act and other data privacy policies.

Qualifications:

  • Must be a Bachelor's degree holder, preferably in Library and Information Science or any related course Preferably with a minimum of one-year experience in record management/administrative support
  • Must be highly organized Must be proficient in MS Office applications
  • Must have good interpersonal, communication and customer service skills
  • Must be proactive and able to work independently or with a team
