THE OPPORTUNITY
Our partner, an Australia-based educational institution with over 15 years of experience in fostering independence, creativity, and a love of learning, is expanding and hiring a Enrolment Officer. The institution delivers exceptional learning outcomes to children across Victoria and South Australia.
As the Enrolment Officer, you will play a key role in responsible for overseeing the full enrolment journey, ensuring families receive professional and values-driven support from enquiry to departure. This includes managing enquiries, enrolment records, waiting lists, and occupancy, while maintaining compliance with regulatory and funding requirements.
KEY RESPONSIBILITIES
- Own and manage the LineLeader CRM system daily, ensuring accurate enrolment, lead tracking, and family communications.
- Respond to family enquiries across multiple channels, converting leads into enrolments and maintaining strong occupancy.
- Coordinate centre tours, follow-ups, and feedback collection to support enrolment conversion.
- Manage all pre- and post-enrolment communications, including CCS, Free Kinder, fees, and subsidies.
- Collaborate with Centre Managers to allocate placements based on availability and policy guidelines.
- Maintain and report on enrolment data, occupancy levels, waiting lists, and family feedback.
- Create and manage targeted email and SMS marketing campaigns through LineLeader.
- Handle family departures professionally, including retention efforts and exit surveys.
- Update family records and liaise with centres on medical and enrolment information.
SKILLS, EXPERIENCE & QUALIFICATION
- At least 5 years proven experience in administration, sales, customer service, or enrolment management in kindergaten, preschool, primary school or related field
- Strong interpersonal and communication skills, with a customer-first mindset.
- Sole ownership experience with CRM systems (LineLeader preferred; HubSpot/Salesforce a plus).
- Familiarity with childcare systems (Kidsoft, Hubworks, KIM) is desirable.
- High attention to detail and ability to manage confidential information.
