Position Overview:

The HR Associate for Timekeeping is responsible for accurately recording and managing employees' working hours, ensuring compliance with company policies and labor laws. This role involves maintaining and updating timekeeping systems, processing payroll, and addressing any discrepancies or issues related to time & attendance and payroll.

Qualifications:

Time Tracking & Discipline:

  • Monitor and record employee attendance, including login and logout times.
  • Ensure the accuracy of timekeeping records and address any discrepancies for all employees, including confidential, rank-and-file, and outsourced staff.
  • Issue the necessary memos related to timekeeping issues or discrepancies.

Data Management:

  • Responsible for encoding duty schedules for the Nursing Services Division, Ancillary Services Division, and Admin Services Division.
  • Encode salary rates and leave credits of employees for payroll purposes.
  • Generate and review reports related to employee hours, overtime, tardiness, and absences.
  • Prepare a monthly report on timekeeping and manpower headcount.
  • Ensure the safekeeping of the Employees Masterlist for reference.
  • Assist in the review and renewal of outsourced contracts.

Timekeeping Processing:

  • Ensuring that the DTRs of all covered employees are processed accordingly.
  • Verify that hours worked are properly recorded and reflected in the payroll.
  • Prepare salary adjustment reports, including leave offsetting and salary deductions.
  • Responsible for preparing billing requests for outsourced agencies.

Payroll Processing:

  • Prepare and process bi-monthly payroll summary reports, ensuring timely and accurate payments.
  • Calculate regular hours, overtime, bonuses, and deductions (taxes, benefits, etc.).
  • Prepare and submit payroll summary reports for management approval.
  • Ensure the timely uploading of payroll summary reports for crediting.

Compliance:

  • Ensure adherence to company policies, labor laws, and regulations related to time and attendance.
  • Stay informed about updates and changes in labor laws and regulations that may affect timekeeping practices.

Issue Resolution:

  • Address and resolve timekeeping issues or discrepancies reported by employees or management.
  • Communicate with employees regarding their timekeeping records and any necessary corrections.

Record Keeping:

  • Maintain accurate and confidential records of employee attendance and timekeeping data.
  • Archive historical timekeeping records as required.

Customer Service:

  • Provide support to employees regarding timekeeping inquiries and issues.
  • Assist in onboarding of new employees in understanding timekeeping procedures including biometrics enrollment.

Administrative Duties:

  • Assisting the HR Supervisor/Manager in reviewing the renewal of contracts of outsourced agencies.

Educational Attainment:

  • Bachelor's Degree in Psychology, Human Resource Management or any related Behavioral Science Course

Skills/ Eligibility:

  • Proficiency with HRIS timekeeping software and system
  • Good understanding of laws and legislations

Years of Experience:

  • At least (1) year relevant experience in Timekeeping & Payroll

Others:

  • Organized, detail oriented and can work with minimal supervision
  • Excellent customer service skills
  • Advanced skills in oral and written communication
  • Ability to manage multiple priorities and meet tight deadlines
  • Proven experience in timekeeping or a related administrative role.
  • Proficient in various MS office and Google workplace
