Warehouse Encoder

DUTIES & RESPONSIBILITIES:

Inventory Encoding & Documentation

• Encode all receiving and dispatch-related inventory transactions into the Warehouse Management System (WMS).
• Ensure 100% accuracy in data entry for inbound and outbound shipments and stock transfers.
• Maintain real-time updates of stock movement, ensuring proper system adjustments.
• Verify item details (quantity, SKU, batch numbers, expiry dates) before dispatch and/or system encoding.
• Cross-check system records with physical stock to prevent discrepancies.
• Ensure all receiving and dispatch documents (e.g., Delivery Receipts, Purchase Orders, and Material Receiving Reports) are properly filed and recorded.
• Generate and maintain accurate records of all encoded transactions for easy retrieval.
• Print Transfer Receipts for all TRANSFER OUT transactions before dispatch.
• Ensure that all Transfer Receipts are signed before dispatch.
• Process transaction reversals in the system (e.g., item returns or order cancellations).
• Ensure the timely transmittal of all original copies of Sales Invoices, Delivery Receipts, and other documents to the Accounting Department with a Transmittal Report.

Receiving and Dispatch Coordination, Monitoring and Tracking

• Ensure all incoming and outgoing deliveries are properly documented and system-encoded.
• Coordinate with the team, warehouse personnel, logistic staff and procurement staff for real-time updates.
• Monitor and track pending, completed, and in-process receipts and in-transit deliveries in the system.
• Ensure that receiving documents are submitted to the Procurement Department without delays.
• Match Delivery Receipts (DR), Gate Passes, and Waybills with system records.
• Identify and report discrepancies in shipment details, short picks, wrong picks, or damaged items.

Online Order Processing & Fulfillment and Purchase Requisition Processing

• Ensure all online transactions are processed on time.
• Prepare Item Pick Lists for order preparation and dispatch.
• Verify that all picked items match the order details before packing.
• Ensure orders are packed securely to prevent damage during delivery.
• Review and validate purchase requisitions for completeness, accuracy and adherence to company procurement policies.
• Encode and submit PRs in the system for approval and processing.
• Ensure alignment with inventory levels and demand forecasts.

Inventory Monitoring & Compliance

• Conduct daily encoding audits to ensure no missing or duplicate entries.
• Assist in monthly and annual inventory counts, reconciling system data with physical stock.
• Ensure compliance with warehouse safety receiving and dispatch protocols.
• Follow company policies regarding inventory control, stock dispatch, and data integrity.
• .Ensure PRs align with stock levels and reorder points.
• Cross-check warehouse inventory before submitting PRs to avoid overstocking or stockouts.
• Maintain updated records of PR requests and approvals.

Quality Assurance, Customer Order Accuracy & Returns Handling

• Ensure 100% order accuracy before dispatching items.
• Ensure 100% barcode scanning of all items before dispatch.
• Verify that all items are in good condition, free from dents/damage, and complete with accessories.
• Ensure that 100% of stock items are served based on Branch Request Orders.
• Process and document customer returns, exchanges, and refunds as per company policy.
• Coordinate with Customer Service and Accounting for return resolutions.

Issue Resolution & Reporting

• Identify and report discrepancies in shipment details, short picks, wrong picks, or damaged items.
• Identify and escalate discrepancies in purchase requests or supplier deliveries.
• Track and report pending PRs and follow up on delays.

Job Types: Full-time, Permanent

Pay: Php551.10 per day
