Job Title: Administrative Officer

Reports To: General Manager/Company Owner

1. Role Summary

The Administrative Officer is the primary host and operational manager of Incub8 Space. This individual is essential for maintaining a premium, welcoming environment and ensuring client satisfaction through proactive relationship management and flawless facility operations.

2. Core ResponsibilitiesA. Client Relations & Community Management (50%)

  • First Point of Contact: Greet clients, members, and visitors, providing a professional and welcoming experience at the front desk.
  • Relationship Management: Act as the main liaison for all tenants. Handle client inquiries, requests, and concerns promptly and effectively, fostering a positive community within the space.
  • Client Onboarding/Offboarding: Manage the administrative process for new tenants, including orientation, key/access card issuance, and coordinating move-in/move-out logistics.
  • Service Excellence: Proactively check in with clients to ensure their needs are met and solicit feedback to continuously improve the Incub8 Space experience.

B. Facility & Operations Management (40%)

  • Operational Oversight: Ensure the smooth daily operation of the facility. This includes managing reception, handling mail/package logistics, and overseeing office common areas.
  • Booking System: Manage the scheduling and usage of meeting rooms, event spaces, and shared amenities, ensuring timely setup and cleanup.
  • Maintenance & Vendors: Coordinate and supervise cleaning, maintenance, repair services, and external vendors to ensure all equipment (internet, HVAC, furniture) and the premises are immaculate and fully functional.
  • Supplies Management: Monitor, order, and organize all necessary office and pantry supplies (coffee, water, stationery) to prevent shortages.

C. Administrative & Financial Support (10%)

  • Maintain organized physical and electronic filing systems for client contracts and facility records.
  • Manage petty cash and assist the management team with basic administrative tasks as needed.

3. QualificationsA. Experience & Skills

  • Required Experience: Open to Fresh Graduates who demonstrate high potential, professionalism, and relevant internship experience. Candidates with 1+ year of experience in customer service, hospitality, or administrative roles are strongly encouraged to apply.
  • Client-Centric: Demonstrated ability to build rapport and manage professional client relationships effectively.
  • Organizational Mastery: Highly organized, detail-oriented, and proficient at managing multiple operational priorities simultaneously.
  • Communication: Excellent verbal and written communication skills in both English and Tagalog.
  • Technical Proficiency: Competent in using Microsoft Office/Google Workspace and experience with a booking/CRM system is highly desirable.
