Job Description

As an Administrative Assistant, you'll support fire safety operations by managing schedules, coordinating inspections, preparing compliance documentation, and ensuring that safety processes run like clockwork-contributing to international safety standards from right where you are.

The Qualifications We Seek

  • At least 2 years of proven experience as an administrative assistant or in a similar administrative role
  • Must have experience in Fire & Safety operations
  • Experience with quoting systems and scheduling tools is a plus
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills in English
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Able to work independently and manage multiple tasks with minimal supervision
  • Prior experience working with international teams or clients is an advantage

Your Daily Tasks

  • Provide administrative support to the Fire & Safety department
  • Prepare and manage quotes for fire system defect repairs
  • Schedule and coordinate fire system inspections with clients and technicians
  • Maintain accurate and up-to-date records of inspections, maintenance logs, and service schedules
  • Communicate with clients and vendors to confirm schedules and follow-ups
  • Assist with the preparation of compliance documentation and fire safety reports
  • Ensure timely filing and organization of safety documentation
  • Support the department in other general administrative tasks as required
