Title: Travel Administration Assistant
Location: Cebu office (seat & equipment provided)
Hours: AU-NSW-aligned (8:30 AM–5:30 PM AEST/AEDT; flexibility due to client needs)
About the role
We're hiring a detail-obsessed administration professional to keep travel bookings accurate, on time, and beautifully communicated. You'll run the behind-the-scenes workflow for a high performing Travel Industry Professional including hotel and other reconfirmations, payment and insurance follow-ups, itinerary creation and formatting, inbox triage, supplier connection and updates, and templated client communications.
What you'll do
- Own the client journey administration: pre/post‑trip emails, in‑trip check-ins, supplier reconfirmations, payment/insurance reminders
- Format itineraries (Travefy) and keep data clean across Tramada/itravel, HQ, and project management (Teamwork)
- Streamline email management in Outlook (online), draft clear client emails, manage calendars and follow-ups
- Coordinate suppliers for rates/availability, vouchers, rooming lists, group manifests
- Keep systems and processes updated (from Loom videos); suggest workflow improvements
- Light marketing support: basic Canva tiles and email database updates (as needed)
Must have (please only apply if you meet these)
- Solid travel administration experience using agency systems and workflows
- Proven project management tool experience (eg Teamwork/Asana/Trello/Monday) to run recurring workflows
- Excellent written English and client email drafting skills (clear, warm, professional)
- Hands-on supplier coordination and reconfirmation experience
- Strong attention to detail. Highly organized and confident to communicate through written and verbal methods.
Nice to have
- Experience in: Tramada, GDS, Travefy, Canva, Database or CRM tagging/lead tracking

Benefits and Review Frequency
- Day Shift - Monday to Friday
- Probation 6 months with performance reviews at 1, 3, and 6 months.
