Job Summary
The Scheduling Officer – Client Coordination is responsible for organizing and managing client schedules, ensuring timely and accurate appointments, and maintaining excellent communication between the company and its clients. This role requires attention to detail, strong customer service skills, and the ability to handle multiple scheduling requests efficiently.
Key Responsibilities
Client Scheduling & Coordination
Arrange and confirm client appointments based on availability and service requirements.
Coordinate schedules between clients and internal teams to ensure timely service delivery.
Manage changes, cancellations, and urgent requests with professionalism.
Customer Service & Communication
Serve as the primary contact for clients regarding scheduling matters.
Provide clients with updates, reminders, and necessary instructions before appointments.
Address client inquiries and resolve scheduling-related concerns promptly.
Tracking & Documentation
Maintain accurate and up-to-date client scheduling records.
Prepare daily, weekly, or monthly appointment reports for management.
Ensure all scheduling data complies with company policies and confidentiality standards.
Operational Support
Collaborate with other departments to ensure client needs are met efficiently.
Identify and resolve potential scheduling conflicts before they impact operations.
Suggest improvements to scheduling processes for better client experience.
Qualifications
Education: High School Diploma or Bachelor's degree in Business Administration, Office Management, Hospitality, or related field preferred.
Experience: 1–2 years in scheduling, client service, or administrative support.
Skills:
Excellent organizational and time management abilities.
Strong verbal and written communication skills.
Proficient in MS Office and scheduling software.
Ability to work under pressure and manage multiple priorities.
