Client Interaction:
- Assist clients in planning and booking travel arrangements, including flights, accommodations, transportation, and activities.
- Provide accurate and up-to-date information regarding travel options, prices, and availability.
- Address client inquiries, requests, and concerns professionally and promptly.
Booking Management:
- Make and confirm travel reservations using booking systems and online platforms.
- Ensure all booking details, itineraries, and documents are accurate and complete.
- Monitor and manage booking changes, cancellations, and refunds as necessary
Coordination:
- Collaborate with airlines, hotels, car rental agencies, and other travel providers to secure reservations and negotiate rates.
- Coordinate complex itineraries, group bookings, and special requests.
- Arrange necessary travel documents, visas, and travel insurance.
- Participate in team meetings and contribute to process improvement discussions.
Documentation and Reporting:
- Maintain organized records of bookings, client information, and payment transactions.
- Generate and provide travel itineraries, invoices, and confirmations to clients. Prepare reports on booking trends, revenue, and client feedback.
Problem Resolution:
- Address and resolve booking issues, flight delays, and travel emergencies. Assist clients with rebooking in case of cancellations or changes in travel plans.
Customer Education:
- Educate clients on travel restrictions, visa requirements, and health and safety guidelines.
- Offer travel tips and recommendations to enhance their travel experiences.
Ad Hoc Activities:
- Assist with marketing initiatives, including promoting special travel packages and offers.
- Attend training sessions to stay updated on industry trends and product knowledge.
- Bachelor's degree in Business, Tourism Management, Hospitality or a related field preferred.
- Strong organizational skills with a keen attention to detail.
- Excellent communication and interpersonal skills to engage effectively with clients and vendors.
- Ability to handle inquiries and resolve issues efficiently and professionally.
- Understanding of travel arrangements, including flights, accommodations, and transportation logistics.
- Strong problem-solving skills with the ability to remain calm under pressure.
- A customer-focused mindset with a commitment to providing excellent service.
- Flexibility and adaptability to manage changing priorities and client needs.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with generating reports and maintaining documentation.
