Job Description

We are seeking a highly capable Administrative & Bookkeeping Assistant who can seamlessly blend financial accuracy with strong administrative and operational support. This role is ideal for someone who thrives on variety, takes initiative, and brings well-researched solutions to the table.

You will work closely with the business owner, serving as a reliable right-hand partner who can manage ongoing administrative tasks while supporting essential bookkeeping functions. This includes immediate catch-up bookkeeping needs and long-term support in maintaining organized financial records, strengthening client communication, and improving internal processes.

Key Responsibilities

Bookkeeping & Financial Support
  • Perform accurate bank reconciliations and maintain organized QuickBooks entries.

  • Update and track financial records with a strong focus on detail and accuracy.

  • Assist with expense categorization and financial documentation as needed.

Administrative & Operational Support
  • Manage the executive calendar; schedule meetings and send timely reminders.

  • Organize inbox communications and draft/respond to emails professionally.

  • Conduct independent research and provide clear, actionable recommendations.

  • Maintain detailed task tracking systems and ensure timely follow-up on all action items.

  • Provide organized digital filing and document management.

  • Handle professional client communications and ensure smooth relationship management.

  • Coordinate travel arrangements, logistics, and related documentation.

  • Take comprehensive meeting minutes with clearly outlined next steps.

  • Support various administrative and operational projects that help the business scale.

  • Proven experience in bookkeeping, particularly bank reconciliation and QuickBooks management.

  • Strong administrative skills with the ability to juggle multiple priorities.

  • High attention to detail and commitment to producing accurate, polished work.

  • Confidence and clarity in written and verbal communication.

  • Strong research skills and the ability to independently find and propose solutions.

  • Tech-savvy, with the ability to learn new tools quickly and improve existing processes.

  • Ability to work independently, stay organized, and take initiative without constant direction.
