Order Fulfillment Officer

Position Overview:

The Fulfillment Officer (Event Logistics and On-Site Distribution) for Marathons and Running Events is responsible for ensuring the smooth and efficient distribution of race kits, merchandise, and other event-related items to participants. This role involves coordination with multiple departments to manage inventory, facilitate on-site and pre-event distributions, and address issues that may arise during fulfillment. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced, dynamic environment.

Key Responsibilities:

1. Pre-Event Planning and Coordination:

• Manage participant data and confirm orders for race kits, bibs, finisher shirts, medals, and merchandise.
• Work closely with registration, marketing, and event operations teams to align fulfillment processes with event timelines.
• Prepare and print fulfillment-related materials such as race bibs, vouchers, and pick-up lists.

2. Inventory Management:

• Maintain accurate records of race kits and merchandise to ensure inventory levels meet participant demand.
• Collaborate with the organizers to monitor stock and resolve any discrepancies.
• Conduct regular inventory audits to track available and distributed items before and after the event.

3. Race Kit and Merchandise Distribution:

• Organize and supervise on-site race kit distribution at designated pick-up venues and event locations.
• Oversee the packaging of individual and bulk orders for participants, ensuring accuracy in contents (e.g., bib numbers, shirts).
• Coordinate logistics for delivery services or courier partnerships.

4. Customer Support and Issue Resolution:

• Communicate with participants regarding order status, race kit pick-up instructions, and delivery timelines.
• Address and resolve any issues related to missing, incorrect, or damaged items.
• Provide support during on-site pick-up days, handling inquiries, and troubleshooting issues.

5. On-Site Event Operations:

• Collaborate with the event operations team to ensure smooth on-site distribution during race day or other key event days.
• Manage the fulfillment area to prevent bottlenecks and ensure an organized and efficient flow.
• Assist in distributing race day materials (e.g., timing chips, race-day essentials) to participants.

6. Data Management and Reporting:

• Maintain accurate records of participant orders, distributions, and returned items.
• Generate post-event fulfillment reports to assess accuracy, efficiency, and participant feedback.
• Provide recommendations for improving fulfillment processes for future events.

Key Qualifications:

• Experience in event fulfillment, logistics, or customer service, especially in sports or mass-participation events (preferred).
• Familiarity with inventory management systems and event registration platforms.
• Strong organizational and problem-solving skills.
• Ability to communicate effectively with participants, and internal teams.
• Proficiency in MS Office (Excel, Word) and other relevant software tools.

Work Setup: Full Onsite

Pay: Php16, Php20,000.00 per month
