Executive Assistant to the Director

About the Role
We're looking for a highly organized and proactive Executive Assistant to support the Director of Kleenfant and Inspi in managing day-to-day operations, meetings, and documentation.
This is a key position for someone who thrives in a fast-paced environment, is detail-oriented, time-bound, and can think fast while keeping everything organized and confidential.
Key Responsibilities:
- Assist the Director in daily administrative and coordination tasks.
- Organize files, documents, and schedules, ensuring nothing is missed.
- Accompany the Director in meetings, take detailed notes, and ensure all follow-ups are tracked and executed.
- Prepare and summarize discussion points, meeting notes, and action plans.
- Maintain confidentiality of all company and brand information.
- Manage filing systems — both digital and physical — and ensure everything is easily traceable.
- Keep track of project timelines, deadlines, and deliverables.
- Anticipate needs and provide proactive assistance in planning and execution.
Job Qualification:
- At least 3 years of experience as an Executive Assistant, Personal Assistant, or similar role.
- Extremely organized, detail-oriented, and can handle multiple priorities efficiently.
- Fast thinker, dependable, and excellent at following through on tasks.
- Knowledgeable in Google sheet.
- Strong communication and comprehension skills — able to easily understand and execute instructions.
- High level of professionalism and discretion in handling sensitive company matters.
- Reliable memory and filing system — knows where things are and keeps accurate records.
- Preferably can start ASAP.
Working schedule:
- 6 days per week.
