JOB TITLE: Fleet Manager

DEPARTMENT: Logistics / General Services / Operations

REPORTS TO: Logistics Officer

I. JOB SUMMARY

The Fleet Manager is responsible for overseeing the management, maintenance, and efficient operation of the organization's vehicle fleet. This position ensures that all company vehicles are properly maintained, compliant with regulatory requirements, cost-effective, and operated safely. The Fleet Manager develops and implements policies for vehicle use, preventive maintenance, driver management, and fuel monitoring to support organizational operations effectively.

II. DUTIES AND RESPONSIBILITIES

Fleet Operations Management

  • Supervise daily vehicle dispatching, routing, and scheduling to ensure timely and efficient delivery of goods and services.
  • Develop and enforce fleet policies and procedures covering vehicle use, maintenance, and safety.
  • Monitor vehicle performance, fuel usage, mileage, and repair history.
  • Maintain accurate and up-to-date fleet records, including registration, insurance, and preventive maintenance schedules.
  • Ensure compliance with transport regulations, safety standards, and environmental policies.

Maintenance and Asset Management

  • Coordinate regular preventive maintenance and timely repairs of all vehicles.
  • Evaluate service providers and suppliers for vehicle maintenance, fuel, and spare parts.
  • Maintain a comprehensive inventory of vehicles, accessories, and related assets.
  • Recommend vehicle replacements, disposals, and acquisitions based on usage data and life-cycle analysis.

Driver Supervision and Performance

  • Supervise, train, and evaluate drivers and dispatch personnel.
  • Ensure that all drivers possess valid licenses and are briefed on road safety and company regulations.
  • Investigate vehicular accidents and recommend corrective actions or disciplinary measures when needed.

Budgeting and Reporting

  • Prepare and manage the fleet operations budget, including fuel, maintenance, and repair costs.
  • Analyze operational data to identify cost-saving opportunities and improve efficiency.
  • Submit periodic reports on fleet utilization, expenses, and performance indicators.

Other Related Functions

  • Collaborate with other departments to align vehicle usage with operational needs.
  • Perform other related tasks as may be assigned by higher management.

III. QUALIFICATIONS

  • Education:
  • Bachelor's Degree in Mechanical Engineering, Industrial Engineering, Logistics Management, Business Administration, or a related field.
  • Experience:

At least 3–5 years of relevant experience in fleet operations, transportation, or logistics management, including supervisory experience.

  • Skills and Competencies:
  • Strong knowledge of vehicle maintenance, transportation laws, and fleet management systems.
  • Excellent leadership, organizational, and problem-solving skills.
  • Proficiency in MS Office and fleet management software.
  • Strong budgeting, analytical, and reporting abilities.
  • Ability to work under pressure and handle multiple tasks.

IV. WORKING CONDITIONS

  • Primarily office-based but requires frequent field monitoring and coordination with drivers and service providers.
  • May require occasional overtime, weekend work, or emergency response for vehicle-related incidents.

Job Type: Full-time

Pay: Php25, Php35,000.00 per month
