Role OverviewThe Director of Administration will provide strategic leadership and operational oversight for all administrative functions across the organization's global sites. This role manages and optimizes various Lines of Business (LOBs) related to administration and employee services. Managers report directly to this role and the Senior Manager, Administration, and Employee Services a direct report.

The Director of Administration will lead critical areas, including Onboarding and Offboarding, Tools and Access Management, Helpdesk, Asset Management, and Benefits Administration, ensuring streamlined processes, efficient workflows, and high-quality service delivery. In this key position, the Director will contribute to long-term strategic planning, oversee daily operations, and collaborate closely with senior executives to support organizational goals and enhance the employee experience. Scope and Breadth of ResponsibilitiesGlobal Oversight: Lead and oversee administrative operations across multiple regions, supporting Athena's strategic objectives and growth.

Customer Service Excellence: Drive a customer-focused approach, ensuring all departments receive timely support and operational guidance. Operational Efficiency: Develop and manage processes that improve efficiency and effectiveness across all administrative functions. Duties & ResponsibilitiesHigh-Level ResponsibilitiesStrategic Leadership: Formulate and execute plans to improve administrative productivity and service quality.

Operational Oversight: Manage all administrative functions, ensuring smooth workflows and alignment with Athena's goals. Team Leadership: Mentor and develop a diverse team, supporting professional growth and fostering a positive, service-oriented culture. Financial Oversight: Develop and manage the Administration department's annual budget, including cost-saving initiatives and financial alignment with organizational goals.

Specific ResponsibilitiesVendor and Contract Management: Negotiate and manage vendor contracts and relationships to ensure global service quality and compliance. Policy Development and Compliance: Establish and enforce policies that support efficiency and legal compliance, acting as a liaison for administrative matters. Process Optimization: Implement data-driven improvements to enhance workflows, productivity, and reporting processes.

Functional OversightTools & Access ManagementOversee global software provisioning for new hires and special requests. Conduct regular audits of tool utilization, deactivation, and financial efficiency. Asset ManagementEnsure efficient distribution, tracking, and maintenance of IT assets and hardware.

Oversee effective logistical management of company assets, focusing on streamlined laptop distribution. Drive continuous improvements in inventory management practices and reporting accuracy to enhance operational transparency. Helpdesk ManagementOversee the helpdesk to meet service level agreements (SLAs) and resolve recurring issues efficiently.

Ensure accurate tracking of tool usage and credit audits. Employee Services - Onboarding and OffboardingLead onboarding/offboarding processes with accurate record-keeping and database management. Support organization-wide engagement activities, including performance feedback and recognition.

Minimum RequirementsExperience: Minimum of 10 years in administrative management, with significant experience in multi-site or global operations. Demonstrated expertise in overseeing diverse functions within the administration. Leadership Experience: At least 5 years in a senior management role with responsibility for cross-functional and multicultural teams.

Project Management: Experience managing complex administrative projects, ideally across multiple locations this would be a great addition but not required. Educational and Certification RequirementsEducational Background: Bachelor's degree in Business Administration, Facilities Management, Engineering, or a related field. A Master's degree or equivalent experience is preferred.

Certifications: Logistics and Asset Management, Project Management Professional (PMP), or similar certifications are highly advantageous.
